The Services Delivery Manager is accountable for day-to-day operations, vendor management and service management for the client(s) they support, as well as, data verification, reporting and analysis; and assists in the review, development and implementation of related processes and initiatives.

KEY DUTIES & RESPONSIBILITIES

People Leadership 

Demonstrates strong, competent leadership for team members to guide them in reaching their full potential and meeting their objectives, which supports achievement of our corporate goals. Specifically, these responsibilities include but not limited to: 

• Full involvement with recruiting talent. 
• Provides mentoring, coaching and guidance to all team members. 
• Objectively recommends compensation adjustments. 
• Manages all aspects of performance. 

Facility Management

• Generate and dispatch service request work orders to vendors as per established process. 
• Review Priority works orders – communicate and follow up on priority orders to vendors and ensure they are addressed in a timely manner to meet KPI requirements.
• Review Work Orders – ensure that all work orders dispatched to the FM are closed out or reassigned to technician or vendor.
• Perform inspection of work orders closed by vendors and ensure complete/accurate closeout details are provided (e.g. cost, work completed, equipment tag #).
• Run report on open work orders and checks status with the appropriate vendors.
• Update WO statuses if verified to be completed or resolved during follow up. 
• Respond to vendor inquiries regarding workorder related issues.
• Respond to Client inquiries regarding current or past workorders (Status of the work, Issues/warranty, escalations).
• Correcting information in the system, addresses, phone numbers.
• Adding new vendors and locations to the system.

Finance

• Review and resolve invoice referrals/escalations.
• Review and resolve invoicing errors.
• Review and approve billing for tech services.
• Review and approval of invoices for payment (Oracle).
• Respond to vendor inquiries regarding invoicing-related matters.

Client / Service Management 

• Make and receive calls/emails from the vendors and clients for follow ups on workorder status, creation or cancellation. 
• Act as main point of contact, between the client and all other parties, technicians that reach out for approvals, questions and issues, vendors that need further information or approvals.
• Primary escalation point for taking care of any issues regarding service.
• Involvement in specific Emergency workorders may need to be managed from start to end.
• Requesting approvals from the client.
• Review of PM workorders and following up with vendors as needed.
• Participating and gathering information for QBR's.
  • Client reporting needs as required.

Reporting 

Quality Compliance 

• Execute quality & compliance team activities that support the quality compliance contractual obligations. 
• Interface with BGIS management and client management to identify applicable regulatory and compliance requirements and ensure accurate understanding of those requirements between BGIS and the client. 
• With guidance, assist in the review of related processes by conducting compliance process capability studies to identify, improve and correct process inefficiencies and inaccuracies; review process documentations and speak with relevant concerned parties to understand and identify process improvement opportunities. 
• Provide input for planning, development, execution and improvement of compliance-related processes and programs. 
• Assist in the implementation of compliance-related processes through activities such as coordination of process implementation with relevant concerned parties, process documentation, providing contents to presentations, etc.
• Identify any quality, compliance and contractual issues and communicate them to the appropriate BGIS and customer management teams. Work with those teams to resolve any identified issues. 
• Comply with all company policies and procedures and adhere to company standards.

• 3-5 years of relevant experience in Facility Management or Vendor Management.

Job Summary:

Transportation Services is seeking a Project Lead to support projects, activities, and assignments pertaining to the programs, services, policies and operations of the Neighbourhood Projects Unit, StreetARToronto initiative. In this position, you will help to shape the future of Toronto's streets with a focus on supporting reconciliation, diversity, equity and inclusion and improving accessibility and active transportation to create a more livable, safe and resilient city and a greater sense of belonging and affinity among and between all.

You will work across the Divisions, with external partners and the public at the forefront of engaging diverse communities, implementing creative and meaningful design and process innovation. It's an exciting time to join the Transportation Services Division, Project Design and Management Section.

Major Responsibilities:

As a Project Lead within the Neighbourhood Projects unit, StreetARToronto Team, you will have the following major responsibilities:

• Oversees assigned projects or components of projects, ensuring effective teamwork and communication and high standards of work quality. The project work will focus on:

  • Leading and facilitating delivery of projects in accordance with approved processes including public consultation, street art installations, event preparation, securing permits and removal of graffiti vandalism.

  • Liaising and maintaining collaborative partnerships with multiple external stakeholders including street artists, contractors, vendors, BIAs, and diverse community groups.

  • Undertaking site visits to assess strategic and operational opportunities, community impacts, perception and opinion related to program goals.

  • Preparing Scope of Work Agreements, Purchase Order and Payment Requisitions, Requests for Quotations, Requests for Proposals and other financial, purchasing and program documents.

• Prepares project plans, reports, briefing notes and status updates for senior staff.

• Regularly updates documentation, websites, or other public facing materials on divisional transportation initiatives.

• Conducts accessible public and stakeholder consultation for assigned projects, including supporting public and stakeholder accessible meetings and events; organizing and leading technical advisory committees; responding to emails and phone calls; and collecting, consolidating, and incorporating public feedback into designs and other studies.

• Keeps up-to-date on relevant transportation and accessibility research and coordinates with relevant divisional staff on project-related data and analysis.

• Researches and applies best practices and design innovations by equivalent municipal programs, legislation, academic studies, policy and procedures concerning multi-modal solutions.

• Represents the Unit, as required, at meetings within the Division and other City Divisions and Agencies and at project-related community consultations that have an impact on the delivery of its program.

• Establishes, maintains and develops linkages to other divisions, agencies, boards and commissions to ensure effective partnerships.

• Knowledge of various legislation, including interpreting and applying the Accessibility for Ontarians with Disabilities Act (AODA), the Integrated Accessibility Standards Regulation (IASR), city accessibility policy, multi-year accessibility plan, and familiarity with the AODA transportation standard is an asset.

• Ensures work is undertaken in a manner that complies with the Ontario Occupational Health and Safety Act, other relevant codes and regulations and City policies.

Key Qualifications

Your application must describe your qualifications as they relate to:

1. Experience with the arts services sector and community-based programming in areas such as youth engagement, community development, and street art or an equivalent combination of education and experience.

2. Considerable experience handling multiple and diverse public realm projects and priorities in a detail and deadline-oriented environment.

3. Experience in public realm project planning and, guidelines, and applications in an urban environment.

4. Experience in preparing and managing Scope of Work documents or overseeing planning and implementation of projects directly.

5. Volunteer, academic or community committee work. Lived experience as a person with a disability would be considered an asset.

6. Highly developed personal, interpersonal and group skills with the ability to communicate at all organizational levels, including the political level, while balancing stakeholder interests.

7. Proficiency utilizing a variety of computerized systems including MS Office (i.e., Word, Excel, Access and PowerPoint).

To operate company vehicles and provide efficient delivery and pickup of packages while performing in a floating capacity for a minimum of 15 routes. To work as a courier but not on an assigned regular route.

Good understanding of FedEx products, features of service, general operations.

Ability to lift 70 lbs and to maneuver any package weighing up to 150 lbs with appropriate equipment.

The Service Delivery Coordinator (Bilingual FR/EN) is responsible for overseeing and coordinating the effective delivery of a variety of services including the management of the life cycle of work orders. This is done by ensuring that vendors adhere to SLAs and complete work on time to maintain a high level of customer service.  In addition, the coordinator ensures adherence to policies and procedures, ensuring data integrity, quality planning, and KPI work order metrics are achieved. 

KEY DUTIES & RESPONSIBILITIES 

Service Delivery  

• Manage work orders to completion in BGIS or client-based web application.
• Facilitate alignment of client required services with contracts, schedules, and Pos.
• Review of work orders to determine if invoiceable or non-invoiceable.
• Schedule access for internal and external service providers with the facility when required.
• Prepare weekly/monthly summaries of work order performance for internal and external service providers.
• Follow up with internal and external service providers to ensure all SLA’s are achieved.
• Review compliance documentation and upload to RealConnect.
• Create on demand work orders for service delivery.
• Ensure client required supporting documentation for quote and invoice submissions are provided.
• Review and submit all estimates to the required approver(s) following client quote process. 
• Submit PO requests.
• Generate required data for SLA Scorecard.
• Report Intelex incidents.
• Submit Avetta requests.
• Available to work evenings and weekends.
• Other duties as assigned.
