KEY DUTIES & RESPONSIBILITIES

Security
 

  • Responsible for first line protection of personnel and ALBERTA INFRASTRUCTURE property.
  • Responsible for first line prevention of injury and damage on ALBERTA INFRASTRUCTURE property.
  • Provides protection and security for life and property on ALBERTA INFRASTRUCTURE premises by conducting physical checks while on regular patrol of premise.
  • Enforces all regulations, policies and by-laws for safe, secure operation of the property by:
    • maintaining an effective key or access control system,
    • monitoring adherence to "no smoking" and "no parking" requirements,
    • operating closed circuit TV systems and testing alarm and sprinkler systems,
    • being aware of special events requiring extra diligence.

Tenant and Building Visitor Support

  • Liaises with tenants, customers, general public, contractors, police, fire and ambulance services to prevent or reduce hazards to property and personnel.
  • Detects and reports anomalies to systems, policies, practices and procedures that could constitute threats or hazards to ALBERTA INFRASTRUCTURE property or the health and safety of personnel.
  • Aids and assists people in need by giving directions, finding lost persons, rendering First Air or CPR or as requested in support of police, fire or ambulance services.

  • Direct delivery personnel as required.

Documentation

  • Writes accurate, clear and concise reports and suggests/recommends improvements to ALBERTA INFRASTRUCTURE policies and procedures pertaining to job duties.

Reporting to the Manager, Workplace Solutions, the Workplace Strategist will be the prime contact to customer Business Units, on behalf of the client Corporate Real Estate team.  The individual will seek to understand the Business Unit’s needs as they relate to the workplace and develop solutions that will support both the business objectives and the overall Real Estate strategy.  The candidate must have strong communication skills and be able to manage client expectations at the C-suite level.  The Workplace Strategist must be able to manage priorities effectively and thrive in a fast-paced, evolving work environment.

KEY DUTIES & RESPONSIBILTIES 

Client Relationship

  • Foster new and existing client relationships at an executive level with identified business units relating to the workplace.
  • Consult and meet with clients to determine needs, preferences, budget, and timeline, the specific purpose of the space and/or project, and other factors affecting the planning of interior environments.
  • Collaborate with the Workplace Solutions team were required to support client needs.
  • Maintain communication with clients during project execution and work closely with the Project Delivery team to ensure project success.
  • Local travel to various client sites required every 1-2 weeks. Occasional out-of-province travel may be required.

Interior Design/ Workspace Occupancy

  • Perform interior design activities such as needs analysis, programming, space planning, cost estimating, detailed scope development, and problem-solving.

  • Work with client Asset Managers to develop Strategic Project scopes and budgets.
  • Ensure the required design elements of every project are: clearly articulated; agreed and understood by multiple cross-functional stakeholders; managed in a collaborative, effective, and efficient manner; to allow the Project Management team to successfully deliver intended outcomes.
  • Educate and communicate across CRE teams regarding the use of regional workplace policies, specifications, and guidelines to support ongoing occupancy and projects within the portfolio
  • Work closely and collaboratively with other team members, internal partners (HR, IT, Security, FM’s), and external consultants in the development and execution of appropriate workplace design.
  • Projects assigned will be typically medium to high complexity, over $250k in value.

Reporting 

  • Provide weekly updates of project information and status to support accurate data reporting.
  • Other duties as assigned.

KNOWLEDGE & SKILLS REQUIRED

  • 4 year Interior Design Degree or equivalent diploma with 7-10 years of experience in a corporate environment with significant design, project planning and client relationship management experience. 
  • Previous experience within a corporate real estate group, professional services, or design firm.
  • Comprehensive understanding of the local Building Code, building issues, safety codes, office ergonomics, accessibility and applicable industry standards and regulations considered an asset.
  • Knowledge of furniture systems required.
  • Experience designing Activity Based Workplaces considered an asset.
  • Knowledge of Agile methodology considered an asset.
  • Strong organizational, time management and multi-tasking abilities
  • Strong communications (written and verbal) skills; proficient in English (written and spoken).  Fluency in French an asset.

The role of the Workplace Ambassador II will collaborate with various partners to ensure a high-quality seamless workplace experience is provided consistently for all employees.  These partners include facilities and workplace experience teams, client employees, BGIS facilities and project teams, food service operators and fitness center operators.  In this role, there is a unique opportunity to influence how employees work and directly impact their workday.  You will work with a team of professionals delivering workplace services including hospitality, reception, event space coordination, space occupancy and mail/package deliveries.  In this role, you will be empowered to make decisions that are aligned with the organization’s workplace standards to ensure that the space continues to meet the needs of all employees.  This role will support the key differentiator of the organization – it’s people, by enabling a culture of high-performance teams.

 

KEY DUTIES & RESPONSIBILITIES

  • Support a core set of office services consistent throughout designated high occupancy buildings.
  • Liaise with BMO as required
  • Support LOB's in redirecting or escalating issues to appropriate teams. 
  • Collaborate on areas of opportunity for workplace efficiency and effectiveness.
  • Coordinate with Mail / Courier support as required; receive packages and courier distribution
  • Support Reception services (where applicable) for general building and shared conferencing floors
  • Support LOB's with activities related to visitors and new hires, including how to effectively utilize services and amenities
  • Observe, support and re-direct occupants, visitors and vendors where appropriate (Iron Mountain, day porter, FM services)
  • Coordinate and validate Temporary Cards.  WA may coordinate requests and roster distribution between LOB, Security and/or Landlords.  Security/Badge Access for full-time and contract employees is the responsibility of the LOB's, including Onboarding/Offboarding requests and validating rosters.   
  • Support maintenance of the reservation system in collaboration with LOB and BMO
  • Support LOB's with updating distribution, phone directories, floor plan information, wayfinding, regulatory posters and other general office information and communications.
  • Organize and order supplies in shared spaces, conference rooms, enclaves, connection café’s, business centers and any open spaces not business specific.  May include office supplies, kitchen supplies, cleaning kits, first aid kits (consumables), LOB retains responsibility for specific supplies not available for general use.
  • Coffee Services; maintain supply in conjunction with coffee services vendor (where applicable)
  • Manage office sundry equipment as required and/or available, including key maintenance, name plate printing
  • Coordinate equipment maintenance in shared spaces, conference rooms, enclaves, connection café’s, business centers, quiet/wellness rooms and any shared spaces that are not business specific.  Ensure they are appropriately set up and supplied. Perform rounds daily and escalate any functionality issues to appropriate partners.  Personal equipment repair or servicing (laptop, desktop computer, mobile phone, dedicated printer) is the responsibility of the individual employee. 
  • Support technology in shared spaces and redirect employees for support where required.
