Overview of The Role:

 

Under the supervision of the Vice President, Legal Affairs, Dairy Division (United States), you will provide administrative support to a team of lawyers. Your attention to detail and organizational skills will be essential in the production of various agreements and documents.

 

How You Will Make Contributions That Matter: 

  • Providing administrative support to the legal team
  • Tracking invoices and managing entries in the Ariba accounting system
  • Maintaining the department's budget
  • Assisting in the preparation of various legal documents
  • Editing documents (handwritten or dictated)
  • Using technological tools for the preparation and signature of contracts (DocuSign and others)
  • Managing calendars, correspondence, and necessary follow-ups
  • Opening and closing files
  • Keeping internal records and databases up to date
  • Planning and booking travel, as needed
  • Preparing expense reports
  • Performing any other related tasks

 

You Are Best Suited for The Role If You Have the Following Qualifications:

  • A minimum of 3 to 5 years of experience in a similar position
  • Excellent proficiency in Excel and MS Office Suite (Word, PowerPoint, Outlook, SharePoint) and Adobe Acrobat
  • Strong interest in using technology
  • Ability to anticipate needs, take initiative and work independently
  • Tact, excellent judgment, great attention to detail, accuracy, discretion, and autonomy
  • Customer service orientation and strong collaboration skills
  • Ability to work under pressure
  • Professionalism and sense of priorities
  • Good organizational skills, and professional curiosity
  • Spoken and written bilingualism (French and English) is essential. The candidate will need to communicate and collaborate with colleagues and other stakeholders by email and phone, in Quebec, the rest of Canada, and/or North America

  • Adhering to position authorities and bank policies
  • Accurately processing daily transactions and Service Requests from Salesforce originated by the Private Banking Team and Clients.
  • Checking/authorizing transactions with approved limits.
  • Daily completion of the Accounting Support Package as outlined in the ASP at a glance for Sales Support Officers document.
  • Ensuring accurate and timely completion of daily and periodic monitoring activities including Automated Control System, Worklist Management Exceptions, Work Hub, Digital Courier
  • Escalating fraudulent activities, unusual occurrences, issues/deficiencies/trends to your direct supervisor and/or Team Lead and/or AML and/or Branch Compliance Officer (BCO) and/or Chief Compliance Officers and/or applicable Shared Services Department as appropriate
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
     
  • Adhere to compliance with regulatory activities and guidelines as part of the service process, including Privacy, Occupational Health & Safety (OHS), Anti-Money Laundering (AML), Anti-Terrorist Financing, Financial Consumer Agency of Canada (FCAC), Know Your Customer (KYC), Canadian Deposit Insurance Corporation (CDIC), Mutual Fund Dealer Association (MFDA) rules, regulations, and policies, as well as Scotia Securities Inc. This position consists of general tree maintenance. The typical duties in Forestry include tree pruning, tree removals, chipping and stumping. In most cases, shop and equipment maintenance tasks will also be assigned.

 

Education & Experience:

  • Experience using chainsaws and pruning saws
  • Aerial truck operations and brush chipper experience
  • Valid 1A or 3A license and ISA Certification is considered an asset but not a requirement

 

Typical Rate of Pay:

  • $25.32 per hour, after successful completion of training

 

Horticulture

 

Job Duties: This position involves a variety of general labour tasks, including planting and maintaining flower beds, as well as planting, watering, and maintaining trees and shrubs but could also include litter-picking, string trimming, irrigation system operation, painting, turf management, tree and shrub planting and maintenance, rototilling, weeding and cleaning maintenance shops.

 

Education & Experience:

  • Experience planting flowers and knowledge of plant species is preferred
  • Completion of some horticultural courses are an asset but not a requirement

 

Typical Rate of Pay:

  • $18.02 per hour, with opportunities to advance to $25.32 per hour, depending on operational needs  

 

Integrated Pest Management

 

Job Duties: This position consists of general labour maintenance involving insect, weed and animal control. There are several pest programs that include: mosquito control, tree spraying, gopher control and herbicide application. 

 

Education & Experience:

  • Experience with insects, weed, animal control is preferred.
  • Valid Pesticide Applicators License is an asset but not a requirement.

 

Typical Rate of Pay:

  • $18.02 per hour, with opportunities to advance to $25.32 per hour, once obtaining a valid Pesticide License 

 

Open Space Services Lab

Job Duties: The OSS Lab assists Forestry and Integrated Pest Management with insect and disease monitoring for urban forest and related human health.  This includes monitoring for issues such as Dutch Elm Disease, Cankerworm monitoring and Mosquito populations.

 

Education & Experience:

  • Experience with insects and diseases related to urban forestry and human health.

Cemeteries

 

Job Duties: This position conducts general labour maintenance duties at either the Regina Cemetery or the Riverside Cemetery. Irrigation Services/Athletic Fields

 

Job Duties: Under the supervision of the Irrigation Worker II or III, this position performs a variety of preventative, emergency and restoration maintenance to various components, which make up the City of Regina’s irrigation systems located at parks, boulevards, medians, athletic fields, golf courses and cemeteries. Typical duties include extensive shoveling soil or other material, repairs or replacement to irrigation lines, valves, sprinkler and fitting, operate and maintain City vehicles, specialized equipment and tools related to irrigation, and assist in overhauling specialized irrigation components including pumping equipment, control equipment, meters and sprinklers.

 

Education & Experience:

  • Experience or exposure to commercial irrigation equipment and experience using hand or power tools

KEY DUTIES & RESPONSIBILITIES

Subject to legislative licensing requirements and company policy:

  • Receives, tracks, monitors and reports status of maintenance and repair work within service maintenance management database.  Initiates documents to obtain formal approval of work required.
  • Assists in the implementation of preventative maintenance (PM) program.  Ensures that deficiencies are identified, recorded and escalated, and that related documents are maintained.
  • Participates in facility-related projects.
  • Ensures the manner in which work is performed is in compliance with corporate and legislated policies, procedures, practices and guidelines related to environmental, health and safety, fire protection and any other applicable requirements.
  • Maintains all assigned tools and arranges for repair and replacement where required 
  • Submits all expenditures on a timely basis  
  • Assists in enhancing tenant and customer satisfaction and maintaining positive relations through manner in which work is performed and services delivered.

Work Requirements

JOB SUMMARY

Facilities Maintenance & Support Branch delivers engineering programs and support services to the Infrastructure & Water Services Department, including developing the corporate Asset Management strategy for water and wastewater treatment plants, pumping stations, reservoirs and facilities, capital project management services (facility and network), lifecycle performance optimization, energy efficiency and energy management initiatives, and efficiency improvements for water, wastewater, stormwater and solid waste programs.

You are responsible for providing reliability engineering expertise in specific areas, such as Electrical/Instrumentation disciplines, relating to work involving either facilities or network assets.  You identify and resolve asset reliability risks that could adversely affect plant, facility, linear systems or equipment operations, including condition assessment, failure elimination, risk management and life cycle asset management. You also contribute to the continuous improvement of asset/equipment reliability through sourcing condition assessment and maintenance best practices, providing training, and recommending preventive, predictive and basic equipment care practices.  

Facilities may include:

  • For drinking water and waste water: Treatment plants, pumping stations, tanks, structure and force mains assets
  • For solid waste: Landfill site(s) or transfer station assets
  • Programs focus on multidiscipline predictive, preventive and corrective maintenance support.

 

Networks may include:

  • For drinking water and waste water: large diameter water mains, sanitary and storm sewers and collectors
  • For surface water: storm ponds, open channel drainage systems
  • Programs focus on condition assessment and maintenance program optimization provisions and system capacity management.

 

In addition, you: provide implementation management and coordination condition (predictive maintenance) assessment and maintenance support, and root cause analysis of equipment failures; and conduct needs analysis and assist in the development of annual and longer term rehabilitation programs for projects through the coordination of research data, compilation and analysis of information on existing infrastructure, and prioritization of rehabilitation needs.

EDUCATION AND EXPERIENCE

Completion of 4 year university degree in Engineering or Applied Science in Electrical, Mechanical, Civil or Municipal Engineering (as required for specific facility or network work location) 

Minimum of 5 years of related, progressively responsible experience in a relevant municipal engineering environment applying the principles and practices of reliability engineering, including experience with Condition Based Monitoring programs, non-destructive testing and other predictive technologies, diagnosis/resolution of technically advanced problems and the management of external consultants

CERTIFICATIONS AND LICENCES

Licensed Professional Engineer (P.Eng.) with Professional Engineers Ontario (PEO)

KNOWLEDGE

  • Corporate, departmental and branch policies and procedures
  • Federal, provincial and municipal legislation, and municipal engineering standards, pertaining to water quality, potable water, sanitary, wastewater, and storm water services
