The opportunity
The incumbent is responsible for a wide variety of administrative responsibilities to support the Chief Executive Officer (CEO) and one other executive (to be determined) in their daily affairs.
The role
- Provides advanced and confidential administrative support to the executives daily.
- Maintain a busy and ever-changing calendar with constant communication and follow-ups.
- Plans and coordinate meetings and conference calls.
- Manages incoming and outgoing email and phone communication; ensures timely flow of information to and from the executives.
- Organizes local and international travel arrangements, including but not limited to detailed plans, itineraries, and schedules.
- Manages relations internally and externally; act as both an ambassador and as a gatekeeper as the situation requires.
- Ensures follow-up on assigned files and/or mandates.
- Manages the executive budget, vendor creation, accruals and invoicing approval process. Manages expense reports of executives.
- Participates and supports with Board preparation, including revision of memos, presentations etc.
- Revises documents and presentations. Translates or coordinates translation when required.
- In partnership with HR and Communications, supports activities such as townhall organisation, onboarding of new executives, annual memos, etc.
- Collaborates on any ad-hoc relevant demand that may arise.
What you bring to the role
- 10+ years’ experience as an Administrative or Executive Assistant; experience supporting an executive is a definite asset
- Organized with strong follow-up and priority management skills
- Resourceful with a strong ability to multitask
- Responsible, flexible, discreet (able to manage confidential and sensitive matters)
- Ability to work with constantly changing priorities
- Flexibility in the working hours, most notably during the weeks leading up to and including the Board Meetings
- Adaptability, maturity and open mindedness
- Autonomous with initiative and good judgement; ability to work with little to no supervision
- Excellent interpersonal and communication skills
- Fluent both in French and English. Spanish considered an asset
- Proficient in using the Microsoft suite

What you will do
As the successful candidate, you will be part of the team delivering high quality services to public and private sector clients including:
• Advising on major capital projects for government (federal, provincial and municipal), as well as the private sector across a wide variety of industries and sectors including transportation, social infrastructure, energy and natural resources
• Development and implementation of project governance, project management frameworks, and related project delivery resources. Commercial structuring of complex infrastructure contracts. Project implementation advice through planning, procurement, design and construction lifecycle phases. Project performance reviews and health checks
• Identify opportunities to assist clients in achieving their infrastructure goals including presenting and developing proposals to provide advice (both strategic messaging and original content) and marketing materials
• Managing small teams of KPMG advisory personnel including training and mentoring of junior staff and contributing to the overall skills enhancement and experience of the team

What you bring to the role
• A Bachelor's degree in Engineering, Business, Economics, Accounting or equivalent professional education.
• 6+ years of industry experience
• Experience with large capital projects, including procurement and contract strategic commercial advice
• A thorough understanding of the project and program lifecycle activities supporting an infrastructure asset
• Experience with alterative contract types (e.g. DBB, EPC, IPD, EPCM, DBFO, PPPs, CM, etc.) and the development of these contracts for projects
• The ability to simplify problems and synthesize related content into succinct and clear materials
• Excellent technical, critical thinking and problem-solving capabilities
• Demonstrated track record at managing multiple and competing priorities within a multi-disciplinary team
• Demonstrated initiative and ability to communicate (verbally and in written form) and effectively engage with a diverse group of clients

Goals
On a daily basis, ensures that the concrete dosage (manufacturing) is in accordance with the specifications provided by the laboratory, while meeting customer needs. In addition, dispatches and schedules concrete mixer trucks to ensure timely delivery of concrete, good customer service, according to orders placed by customers and at a minimum cost.
Responsibilities
Security :
- Daily check of site cleanliness (site safety).
- Ensure that all employees, yard workers, drivers, mechanics, subcontractors and other people on site work safely and that all wear their PPE and, in addition, carry out regular inspections to monitor the progress of tasks and work.
Production :
- Daily mechanical plant checks (visual inspection, detect unusual noise, lubrication, vibration, belt check etc.)
- Checking and measuring the humidity level of raw materials (stone, sand) and, by the same token, visually observing the conditions before each shift.
- Dosing of concrete and distribution of concrete mixers on the different sites according to the required specifications and ensuring the conformity of the concrete delivered.
- Order raw materials according to planned orders or anticipated volumes.
- Responsible for planning drivers (concrete mixers), yard men, regarding deliveries and production for the next day.
Inventory :
- Enter raw material receipts into the “Command Batch” system and track them according to the “Command Batch” system report.
- Produce end-of-day reports (inventories, reception and consumption of raw materials, m3 produced, chatters, etc.) and transfer the information to your shift replacement if necessary.
- Carry out physical inventories (raw materials and others) with your manager at the end of the month.
Administration:
- Taking orders by phone and promoting our Turbo & VAP products during CODs and to customers.
- Perform daily ticket checks and forward to invoicing. (Includes ticket checks "Waiting times - Superplasticizer etc.)
- Control entry and exit times as well as lunch and break times according to the collective agreement of all hourly employees and/or make the daily report of deliveries made by the "Broker" trucks by checking the areas for each of the delivery tickets.
- Carry out daily monitoring of cash sales as well as the use of concrete mixers (Lafarge, Broker, internal and external rentals) and follow up with the manager.
Optimization and communication:
- Communicates regularly and daily with the distributors of other plants in order to optimize the use of the concrete mixer truck fleet and personnel for the same day as well as the following day.
- Maintain constant communication with the manager and keep him informed during a plant breakdown, production/delivery problems as well as any health/safety incident.
Relations with other positions:
- Works closely with the operations team
