Department Information

The mandate of the Department of Justice is to administer justice, including policing, community justice, victims services and corrections in the Northwest Territories. This mandate will be carried out in a manner which respects community and indigenous values and encourages communities to assume increasing responsibilities.

Job Information

This position reports to the Manager, Legal Aid Commission Program Support. As the Administrative Assistant, you will provide support to the administrative and finance
staff of the Legal Aid Commission. At any given time there may be up to 2000 open Legal Aid files that will require some level of support by the Administrative Assistant.

 

RESPONSIBILITIES:
- Provides reception duties which include receiving, screening and transmitting telephone calls and messages to all staff of the Legal Aid Commission, answering general inquiries and requests for information and services or directing them to appropriate staff.
- Conducts data entry of all incoming legal aid applications.
- Maintains client filing system by preparing files, updating them and bringing files forward at appropriate intervals and doing general office filing.
- Assists with the maintenance of operational and administrative files and records of the Commission which includes archiving and general records management processes.
- Assists in arrangements for Board meetings including arranging travel, accommodation, advances for Board members and booking physical space and amenities.
- Performs other related duties as may be requested by the Executive Director.

KNOWLEDGE, SKILLS AND ABILITIES: 
- Proficiency with personal computers and appropriate software (Microsoft Office Suite, Excel, Outlook). 
- Knowledge of GNWT records management processes. 
- Strong written and verbal communication skills
- Diplomacy and ability to deal with the public 
- Knowledge of the importance of privilege and confidentiality
- Ability to work independently

To be successful in this role, the above qualifications would be attained by: 
- Completion of high school or post-secondary keyboarding or office procedures course, at least three years of general office administration experience and previous experience in a law office environment.

Job Details

Reporting to the Clerk of the Supreme Court, the Court Services Counter Clerk works within the Whitehorse Court Registry and supports the operation of the Yukon courts.  This position:

  •  processes and files legal documents in accordance with court rules, forms, practice directions and applicable legislation;
  • provides legal information and assistance to court users with respect to civil court procedures;
  •  prepares and maintains court records and files;
  •  handles requests for transcripts and court audio recordings; and
  • accepts fees, fines and other payments into court. 

The incumbent handles a high volume of sensitive and confidential information and is expected to meet high standards of tact, confidentiality, and sound judgment.

The friendly and cohesive front counter team is looking for a professional individual who is a team player as well as detail-oriented, organized, and self-motivated.  A significant amount of the incumbent’s time will be spent helping members of the public navigate complex court forms and processes.

 

Essential Qualifications:

  • Successful completion of post-secondary program in Secretarial, Business, Office or Legal Administration, or other related field.
  • Experience performing senior administrative functions (preferably in a legal environment)
  • Experience researching and interpreting and applying legislation.
  • Experience working with the Yukon Rules of Court and knowledge of the Yukon justice system is an asset.
  • Proficiency in French language will be considered an asset.

 

Candidates who have education, training, and/or experience equivalent to the essential qualifications listed above will be considered.

Additional Information

Conditions of Employment: The incumbent must become a Notary Public within 6 months of hire.

Relocation: Relocation costs will not be considered for this position.

You will provide support according to established Government of the Northwest Territories (GNWT) and office guidelines and procedures to ensure matters are dealt with in a timely and accurate manner. You will ensure that all written documentation conforms to departmental and government formats, procedures and policies. In addition, there exists a close working relationship between the Administrative Assistant, Territorial Health Services and the Administrative Assistant, Seniors and Continuing Care Services;   Executive Assistant to the Assistant Deputy Minister (ADM),  and the Deputy Minister’s (DM) Senior Administrative Coordinator. The majority of the work is self-initiated; however, advice and guidance may be solicited from the Director, and/or Managers. You will work independently within established procedures for the position. 

Typically attained by:

An Administrative / Secretarial diploma, medical terminology course, combined with two (2) years of relevant experience or a certificate with three (3) years of relevant experience, OR, Three years (3) of directly related administrative experience in a demanding officer environment; including one year of coordination experience, OR, Grade 12 and applicable Administrative Diploma and five (5) years of administrative experience in a fast-paced setting.
