The Collections Operations West team is responsible for supporting Canadian Blood Services by providing administrative support to all program activities within the Supply Chain Team.  The Program Clerk will provide support in accordance with all regulations, standards and good manufacturing practice. 

 

In this role, you will be responsible for administrative support to all program activities within the Supply Chain Team. You will support in accordance with all regulations, standards and good manufacturing practices.

 

Formula for success

  • Maintains and distributes competency lists and signature lists.
  • Responsible for ordering, receiving, printing, and rescinding controlled documents from applicable department work instruction binders, and responsible for managing controlled document implementations, working with department staff and trainers to ensure work instruction binders are up to date
  • Coordinates new and existing employee documentation, filing and training activities
  • Assists with obtaining reports and registering staff for employee training in the learning management system
  • Responsible for packing, shipping and receiving documents for offsite storage
  • Provide support for Supply Chain departments and other related duties as required

 

Desired skills and education

  • Completion of a secondary school program
  • Minimum of two years of recent related office or administrative experience
  • Experience with Document Management would be an asset.
  • Proficiency in the use of personal computers within a Windows operating system. Intermediate skill level required, using M365 applications such as Microsoft Word, Excel, SharePoint and Outlook software
  • Effective communication and interpersonal skills, being able to exercise sound judgment, tact and discretion when dealing with others
  • Strong communications skills, both verbal and written, in English are required
  • Ability to develop and maintain professional working relationships within a team environment as well as with departmental staff, management, volunteers and customers
  • Excellent customer service skills are critical, including effective listening skills and the ability to respond effectively

  • Assist the Project Manager with monthly progress invoices, reporting monthly accruals and review and approve supplier and subcontractor invoices.
  • Monitor project costs and financial reports. Provide feedback to operations and estimating departments.
  • Direct liaison with customers, consultants and owners. Ensure that client satisfaction has been achieved.
  • Collaborate with the accounting team to ensure cash collections and other accounting targets are being achieved.
  • Ensure project close out items are completed including documentation hand overs and post constitution inspections are completed and approved.
  • Complete project reviews and provide management a close out review upon season or project completion.
  • Other tasks as assigned.

 

Qualifications

 

Educational Background:

 

  • A diploma or degree in Civil Engineering with a C.E.T designation is preferred.  A combination of educational background along with skills/field experience will be considered.  

 

Experience:

 

  • Minimum 2-5 years project coordination and field supervisory experience, estimating experience preferred.
  • Experience managing projects valued $ 500,000 and above.
  • General understanding of construction accounting.
  • Experience managing a project team including jr. coordinators and project support staff.
  • Computer literate.
  • Understanding of Microsoft excel, Microsoft project, Bluebeam and Bid2Win estimating software.
  • Strong understanding of road construction and all components including paving, sub-grade, gravel base course, concrete construction and related subcontractor operations.

The Edmonton Police Service has an opportunity for one (1) Administrative Support Coordinator. This position will provide all aspects of administrative support the Executive Director of the Value and Impact Division and the Executive Director of the Corporate Communications Division. The successful candidate will be responsible for the following duties:

  • Manages both Executive Director's calendars, booking meetings and appointments; and able to make independent decisions regarding these tasks.
  • Coordinate travel arrangements for Executive Director's, booking flights, hotels, and transportation services, as well as managing travel itineraries and expenses.
  • Prepare expense claims.
  • This position will be responsible to support the tracking of community engagement requests for both Community Relations unit in Value and Impact Division and Partner and Stakeholder Engagement in Corporate Comms.
  • Maintain a division diary date system for the Executive Director's to monitor the Annual Performance Plans (APP) for all members within the Division.
  • Maintain detailed financial records of all non-personnel expenditures and invoicing as needed.
  • Create and assign Executive Office Tracking Sheets.
  • Ensure all tracking sheets are concluded in the system in a timely manner.
  • Attend meetings and prepare meeting minutes.
  • Perform other related duties as required.

Qualifications

  • Completion of the twelfth (12th) school grade including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college.
  • A minimum of three (3) year’s diversified word and information processing experience.
  • Proficiency with MS Word and Excel and Outlook.
  • Proficiency with Powerpoint would be an asset.
  • Must have good interpersonal communication skills and be able to multitask and provide courteous and professional work. 
  • Must have excellent time management and organizational skills and demonstrated ability to work with standard office software programs.
  • Demonstrated ability to provide quality customer service.
  • Ability to work independently with minimal supervision and the ability to multitask.

  • As part of your pre-hire screening you will be required to complete an Enhanced Security Clearance. Should you accept employment with the Edmonton Police Service you acknowledge and agree to participate in future Enhanced Security Re-Clearances at scheduled intervals or in any other circumstances, exigent or otherwise, as required by Human Resources Division.

Hours of Work:
33.75 hours per week, Monday - Friday.  Hours of work may be subject to the terms and conditions of a variable hours of work program.

Salary Range:
21M, Salary Grade: 012, $28.644 - $35.917 (Hourly), $1,933.50 - $2,424.40 (Bi-Weekly), $50.463.57 - $53,276.77 (Annually). The rates quoted are in accordance with a collective agreement between the Union and the City of Edmonton.
