The HR Compliance Manager will report to the Director, HR Compliance, and will work in a fast-paced, agile environment, working with the organization and their teams. This role will be part of a diverse team of compliance professionals responsible for investigating primarily on Violence, Harassment and Discrimination concerns thoroughly and expeditiously in a fair, unbiased, and consistent manner, and will collaborate with Legal, Finance & HR functions across Loblaw Companies to protect the organization.

We welcome candidates from across Canada (relocation is not required). The role requires travel occasionally and occasional meetings at Loblaw Head Office in Brampton, Ontario.

 

What You will Do:

  • Collaborate and advise on a spectrum of HR Compliance issues and projects across Canada;

  • Investigate critical HR and Employee Relations issues, primarily related to our Violence, Harassment and Discrimination Policy, including transcribing cases into the Integrity Action Line, conducting interviews with the complainant, respondent & witnesses ; interpreting data from various internal systems; case adjudication; proposing remedial action based on investigation findings; production of completed investigation documentation;

  • Close collaboration with Labour Relations and HR business partners to ensure adherence to policies and practices;

  • Partner with Legal, Finance, Compliance and other departments on a ad-hoc basis;

  • Independently lead assigned casework, bringing Integrity Action Line cases to closure within the required timeframe;

  • Work reactively on critical employee relations matters that typically can only be successfully completed with limited time.

  • Conduct regular training sessions for employees & managers regarding legal obligations.

  • Compile accurate reports/metrics reflecting status of cases and provide insight into gaps/trends for continuous improvement.

 

What You will Need:

 

  • The ideal candidate holds a university degree in Human Resources or a professional Internal Audit and/or Risk Management designation or related studies;

  • 3-4 years combined Human Resources, Labor Relations, investigative, Asset Protection or Legal experience;

  • Strong self-awareness and ability to manage own emotions effectively in challenging situations;

  • Strong written and oral communication skills in English with an emphasis on verbal reasoning, resolution of issues and listening skills;

  • English communication skills are essential for this role. Fluency in French is a valuable asset.

  • Excellent time-management skills to balance projects and crisis-response;

  • Interest for Employee Relations, Labor Relations, investigations and labor/employment law;

  • Experience in conducting investigative fieldwork, including complainant, witness, and target employee interviews, investigative data and production of investigative documentation;

EDUCATION:

As an Ambassador of our Solutions, you will provide expertise and analysis in the areas of Compensation, Benefits, HR Administration and Payroll to a public sector Hospital client in Ontario with over 4000 employees. As an Advisor, you will provide thought leadership and best practice to the client on how to handle unique scenarios and escalations. As a Researcher, you should be ready to investigate questions using a variety of resources to obtain necessary data. As an Analyst, you will create reports to provide to various stakeholders, review them for accuracy and provide guidance on improvements or efficiencies.

 

Responsibilities

 

  • Manage work requests from the client to determine priority, implementation timelines and liaison with technical team for completion
  • Manage the implementation of Collective Agreement renewals including: communications to employees, updating of applicable documents, updating of applicable plans, premiums and employee data on PeopleSoft and the calculation of retro payments
  • Manage the Hospital of Ontario Pension Plan (HOOPP) for all employees. Including regular auditing, missed contributions for employees on leaves and annual reconciliation
  • Complete job evaluations for newly created roles within the Hospital
  • Complete all required Ontario Hospital Association (OHA) Salary Survey annually
  • Ensure the accurate processing of a bi-weekly pay for 4000 employees on PeopleSoft, including auditing, deductions, additional payments, union dues, benefit deductions and review of GL files prior to sending to the client
  • Reconciliation of year-end T4/T4A’s tax slips and government reporting, and regular auditing throughout the year
  • Preparation of all biweekly, monthly and annual remittances for third-party vendors and government organizations (i.e. union dues, benefit carriers, WSIB, EHT, Taxes)
  • Complete WSIB Form 7 earnings reporting
  • Maintain and update documentation regarding HR and Payroll processes and controls
  • Support continuous process improvements and reengineering
  • Support HR/Payroll project initiatives including documentation, testing, and training
  • Testing any new enhancements or fixes to PeopleSoft before they are released into Production environment with support from the technical team
  • Partner and collaborate with the client and other team on resolving HR/Payroll related issues
  • Other tasks as assigned
  • Ability to come to the office in Hamilton, Ontario 1-2 days per week, depending on workload, training and tasks

The Opportunity:

The Human Resources Coordinator is a key member of the HR Team at the Speedvale facility in Guelph, Ontario supporting frontline team members and upholding company policies and programs in a fast-paced manufacturing facility. Reporting to an onsite HR Manager the incumbent is responsible for establishing credibility with team members by addressing and responding to inquiries and managing employee relations.  The successful incumbent must ensure timelines are met with a high level of accuracy and efficiency.

Snapshot of a Day-in-the-Life:

  • First point of contact for all HR inquires
  • Keep employee information accurate and up-to-date in SAP including job, wage, address, direct deposit, etc.
  • Responsible for bi-weekly payroll and ensuring accurate coding and information in Kronos (time and attendance system) is kept up to date
  • Lead the full-cycle recruitment process for all frontline team members and temporary staff, including coordination of internal job posting process in collaboration with the supervisors
  • Arrange and lead all new hire orientation (including full-time and temporary staff); collect and maintain orientation training records in conjunction with FSQA and H&S
  • Onboarding new hires with first-day information including shift details and locker assignment; input new hire data into SAP accurately and timely
  • Manage the swipe card program for new hires, employees on leave, and terminated employees as well as visitors
  • Respond to employee inquires and requests including LOAs, benefit/pension, payroll/ADP, and other HR-related policies and procedures

  • Tend to the main entrance by greeting visitors, sign-in procedures, and notifying the point-in-contact; sign for deliveries
  • Accurately maintain paper and electronic employee files in a confidential manner
