The opportunity
Professional Administration. Individual & Integrated Team Support.
To provide professional administrative support to the BC Banking Region while maintaining a high level of confidentiality and professionalism. This position plays an integral role in ensuring efficiency and effectiveness in key support and administrative processes for the regions ensuring a positive and supportive team environment while providing excellent service to team members and clients. This includes general administrative support for the regional leadership teams, including expense, invoice and travel management, support for team activities, on premise admin support, assistance with budget tracking, meeting and communication support, and other coordination duties as required.
Specific accountabilities
-
Receive incoming invoices, validate to budget detail and prepare payment coding instruction details for Accounts Payable, ensuring the proper signatory authorizations are obtained.

Setting up contracts and blanket purchase orders for contract services.

General budget tracking, as required.

Support leaders with timely and accurate expense management (personal expenses and corporate expenses).

Coordinate facility services, including seating/office plans, repair or maintenance, key/lock management, procurement of new furnishings

Booking of rooms and organizing meetings for department level as required

Other administrative duties, as assigned inclusive of: minute-taking, filing, invoicing, ordering office supplies at the discretion of business leaders

Coordinates all travel/meeting arrangements and booking for the leadership team

Manage incoming and outgoing correspondence per leader direction, as required.

Manage travel requirements as assigned including airfare, and accommodations in line with CWB group travel policy. Support expense claim management process, as required.

Receive incoming/forwarded phone calls in a professional manner, taking and distributing messages.

Ordering and maintaining stationary supplies and supply room

Capture and input information, both for presentation and storage, into the appropriate software

Coordinating tasks within the department as assigned (e.g., ordering lunches, consolidating data, etc.)

Other administrative duties, as assigned inclusive of: meeting arrangements, minute-taking, filing, invoicing, meeting bookings, ordering office and kitchen supplies, mail runs and distribution of the daily mail

Maintain strict confidentiality of employee information and leader interactions.

Prepare and regularly review annual goals and career development plan with manager/supervisor

Promote cooperation and commitment within the CWB Group towards the attainment of common goals enabling productive group interactions

Job Description:
As a member of the team, the Administrative Assistant is responsible for providing a wide variety of confidential administrative support services for the Dean’s Office, supporting the academic and operational needs of the School of Business and Hospitality. This will require the incumbent to perform administrative liaison, analytical, and representational functions on behalf of, and in support of, the Dean and other administrators.

The Edmonton Police Service (EPS) requires an organized and efficient professional, to provide direct support and coordination to the operational teams of Social Navigation Section. These teams include CORE HELP, and 2 x Branch HELP Teams. This position’s primary role will be the coordination of intake referrals. This includes taking referrals from Branch HELP Teams, Front Line Patrol Officers, Beat Officers, and other EPS areas, tracking throughputs and recording outcomes. This includes Alberta Health Services and Homeward Trust, where close collaboration is vital.

In short, the primary function of this position is to ensure that coordination services are efficiently and effectively carried out. Responsibilities will include:
- Maintaining HELP unit emails.
- Coordinate intake meetings with CORE HELP supervisors.

Qualifications

- Gather, enter, and update data to maintain software database on daily basis as appropriate, establish and maintain files and records
- Ensure that correct information about missed pickups and deliveries is rescheduled
- Support and adhere to OS&D team procedures and policies to prevent OS&D loss; tracking freight movement and damages to prevent OS&D loss
- Assist with data entry
- Other related duties as may be required
Your Skills & Experience:
- Minimum of secondary education, with preference of post-secondary education (general stream), or a combination of education and experience.
- Previous Transportation or operational experience is preferred, various roles within transportation would be beneficial
- Communication skills - advanced
- Computer skills – accuracy, MS products, AS400, web based programs
- Demonstrated customer relationship skills
- Strong conflict resolution skills
- Able to work deadlines in high transactional environment

What will you do?
- Impact client experience through execution of client account administration, including account opening, account maintenance and efficient resolution of client request.
- Maintain existing client accounts and identify opportunities to contact clients. You will be responsible for managing timelines and key dates for accounts to help ensure clients feel supported by our team.
- Become well-versed in internal controls and industry regulatory requirements, ensuring client files and other necessary documentation is accurate, up-to-date and compliant.
- Respond to client inquiries in an understanding and time-efficient manner (account transactions, requests, account documentation, account reporting, etc.).
- Assist the Advisor team in welcoming and onboarding new clients.
- Leverage your passion for planning to coordinate and prepare meetings for Advisors with their clients/prospects.
- Tap into your superior problem resolution skills to provide proactive client service.
- Effectively manage incoming communications from clients, Advisors and other internal and external partners.

The expected base salary range for this particular position is $37,500 - $45,000 depending on your experience, skills, and registration status, market conditions and business needs.
