We are seeking dynamic and results-oriented Representatives to join our Talent Acquisition team within the People & Equity (P&E) Division.
 
Reporting to the Senior Consultant Talent Acquisition, the Representative Talent Acquisition will play a pivotal role supporting the end-to-end recruitment cycle, updating and maintaining accurate data and supporting processes in a manner that focuses on accuracy, completeness, timeliness and exceptional customer service delivery in a fast past environment and diverse workforce.
 
What will you do?

  • Support the Talent Acquisition team in the delivery of its services and in achieving the Section’s goals and objectives.
  • Assist with full-cycle recruitment for union and non-union positions, including posting job openings in SuccessFactors, supporting the administration for external job advertising, preparing candidate correspondence, coordinating, and proctoring virtual and in-person assessments, scheduling interviews, and preparing employment offer letters.
  • Coordinate and facilitate the onboarding process for new hires in Success Factors and SAP. Track onboarding tasks, including electronic signature, document uploads, and follow up with candidates to complete outstanding paperwork.
  • Collaborate with Payroll and P&E teams to troubleshoot and resolve any onboarding issues or discrepancies.
  • Create, update, maintain, and leverage electronic recruitment files, and utilize the City's applicant tracking system to support staffing and recruitment activity.
  • Respond to inquiries and requests from all levels of staff, clients and candidates by telephone, e-mail or in person, regarding policies, practises, and job competitions.
  • Prepare and/or process sensitive documents, ensuring confidentiality, accuracy, and attention to detail.
  • Utilize documented procedures and technology tools to manage and coordinate the administrative processing and execution of assigned time-sensitive talent acquisition activities and transactions.
  • Provide software-related systems support and administrative assistance, while supporting required research, analysis and reporting. Compile and summarize data.
  • Deliver timely completion of all tasks as determined and in line with service level agreements (SLAs) and collective agreement (CA) requirements, balancing competing priorities and deadlines.
  • Collaborate with the Talent Acquisition team to help develop and implement corrective actions and process improvements.
  • Demonstrate commitment to diversity, human rights, accessibility, equity, inclusion and ongoing learning.
  • Perform other related duties as required by the Manager/Senior Consultants to support the Talent Acquisition section’s service delivery, goals and objectives.

 
What do you bring to the role?

  1. Considerable experience providing administrative support in a recruitment, HR or talent acquisition environment. 
  2. Post-secondary education in Human Resources, Business Administration or a related discipline or the equivalent combination of education and experience.
  3. Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel), HRIS systems such as SAP, SuccessFactors, etc., and virtual meeting/scheduling software such as WebEx or MS Teams.
  4. Excellent organizational skills with the ability to manage multiple tasks, priorities, and deadlines with flexibility.
  5. Client-centric approach to support candidates, hiring managers, and team members, creating a positive experience throughout the recruitment process. 
  6. Excellent communication skills with strong attention to detail to respond to inquiries, prepare correspondence and present information to diverse audiences.

The HR Services Coordinator will be responsible for providing administrative support for the HR Services department.  This role is the point of contact for all SAP HR related questions and the second level support for the SAP Manager Self-Service (MSS) portal.  Additionally, the incumbent will be responsible for the accurate and timely management of SAP HR data, conducting audits to identify, resolve or prevent errors and inaccurate data, and generate reports as required.  Accountable for delivering consistent and high-quality customer service, the HR Services Coordinator will also provide general HR administration support and counsel to the business related to HR programs and processes, in adherence to service level standards; proactively identifying and providing process improvement recommendations to management.

As a CBRE Workplace Experience Coordinator, you'll be responsible for delivering a world-class customer service experience to employees and guests of a designated building.

This job is part of the Workplace Experience function. They are responsible for providing world-class customer service to the clients and visitors of a designated building.

What You’ll Do:
  • First point of contact for all those entering the facility. Greet them with a friendly and welcoming demeanor. Issue visitor and parking passes and follow security protocols.
  • Make a memorable first impression by answering the telephone in a professional manner. Create presentations and speak to various-sized groups.
  • Arrange and confirm recreational, dining, and business activities on behalf of the requestor.
  • Manage janitorial or maintenance work orders as needed. Coordinate and execute workplace services including mail, office supply services, and onboarding.
  • Acknowledge inquiries or complaints from employees, guests, and co-workers. Provide solutions in a professional customer service-driven manner.
  • Organize and manage on-site events. This includes securing event space, set up and tear down of the room, and delivery of supplies.
  • Follow property-specific security and emergency procedures. Notify appropriate parties to ensure the safety of all individuals in the building.
  • Coordinate with vendors who supply services or goods to the workplace.
  • Explain detailed and/or complicated information within the team. Follow specific directions as given by the manager.
  • Impact through clearly defined duties, and methods and tasks are described in detail. Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.

  What you bring

  • Prior experience in Human Resources is required, with a strong emphasis on HR reporting and analytics.

The Tenant Services Coordinator supports BGIS clients by coordinating the delivery of small-scale maintenance projects, workspace changes, design services and office services. They coordinate the resolution of tenant issues related to the delivery of tenant service projects. They are also responsible for assembling the scope and specifications, tendering, financial administration and monitoring contractor performance for tenant service and base building projects.

KEY DUTIES & RESPONSIBILITIES

Projects:

 

§  Receives, processes and validates service requests received by telephone, e-mail, and personal visits and maintain service call / work order tracking as required (Keep a Project Tracker spreadsheet).

§  Works with the Facility Managers to deliver small-scale tenant service projects; determining skills required, assisting with contractor selection and monitoring performance.

§  Coordinates, plans and oversees BGIS and subcontracted forces to deliver required tenant service projects within the scope of the position. 

§  Works with multiple stakeholders to ensure timely and successful project completion, ensuring adherence to scope, budget requirements and maintaining client satisfaction.

§  Participates in the development of in-house project engineering cost estimates; design concept alternatives; standards and procedures; and Consultant Terms of Reference.

§  Manages and oversees the performance of design consultants and contractors throughout the duration of a project, identifying and resolving issues while monitoring and ensuring the quality of service.

§  Reviews the work done by contractors, reports any discrepancies to Facility Manager and requests Purchase Orders.

§  Ensures that projects are delivered in compliance with all regulatory, environmental and health and safety requirements.

KEY DUTIES & RESPONSIBILTIES 

Client Relationship

  • Foster new and existing client relationships at an executive level with identified business units relating to the workplace.
  • Consult and meet with clients to determine needs, preferences, budget, and timeline, the specific purpose of the space and/or project, and other factors affecting the planning of interior environments.
  • Collaborate with the Workplace Solutions team were required to support client needs.

Interior Design/ Workspace Occupancy

  • Work with client Asset Managers to develop Strategic Project scopes and budgets.
  • Ensure the required design elements of every project are: clearly articulated; agreed and understood by multiple cross-functional stakeholders; managed in a collaborative, effective, and efficient manner; to allow the Project Management team to successfully deliver intended outcomes.
  • Educate and communicate across CRE teams regarding the use of regional workplace policies, specifications, and guidelines to support ongoing occupancy and projects within the portfolio
  • Work closely and collaboratively with other team members, internal partners (HR, IT, Security, FM’s), and external consultants in the development and execution of appropriate workplace design.
  • Projects assigned will be typically medium to high complexity, over $250k in value.

Reporting 

  • Provide weekly updates of project information and status to support accurate data reporting.

KNOWLEDGE & SKILLS REQUIRED

  • 4 year Interior Design Degree or equivalent diploma with 7-10 years of experience in a corporate environment with significant design, project planning and client relationship management experience. 
  • Previous experience within a corporate real estate group, professional services, or design firm.
  • Comprehensive understanding of the local Building Code, building issues, safety codes, office ergonomics, accessibility and applicable industry standards and regulations considered an asset.
  • Knowledge of furniture systems required.
  • Experience designing Activity Based Workplaces considered an asset.

KEY DUTIES & RESPONSIBILITIES

  • Support a core set of office services consistent throughout designated high occupancy buildings.
  • Liaise with BMO as required
  • Support LOB's in redirecting or escalating issues to appropriate teams.

  • Support maintenance of the reservation system in collaboration with LOB and BMO
  • Support LOB's with updating distribution, phone directories, floor plan information, wayfinding, regulatory posters and other general office information and communications.
  • Organize and order supplies in shared spaces, conference rooms, enclaves, connection café’s, business centers and any open spaces not business specific.  May include office supplies, kitchen supplies, cleaning kits, first aid kits (consumables), LOB retains responsibility for specific supplies not available for general use.
  • Coffee Services; maintain supply in conjunction with coffee services vendor (where applicable)
  • Manage office sundry equipment as required and/or available, including key maintenance, name plate printing
  • Coordinate equipment maintenance in shared spaces, conference rooms, enclaves, connection café’s, business centers, quiet/wellness rooms and any shared spaces that are not business specific.  Ensure they are appropriately set up and supplied. Perform rounds daily and escalate any functionality issues to appropriate partners.  Personal equipment repair or servicing (laptop, desktop computer, mobile phone, dedicated printer) is the responsibility of the individual employee. 
  • Support technology in shared spaces and redirect employees for support where required.
