The incumbent manages administrative operational activities relating to the Faculty Environmental Health and Safety Risk Management System (EHSRMS) to ensure the safety of the environment and the health and safety of all persons working and studying at the Faculty of Medicine.  Specific operational activities include planning and executing workplace inspections to identify health and safety issues, hazards and trends, and verifying compliance with federal, provincial and municipal acts & regulations, and uOttawa policies and guidelines.  Communicates infractions to the responsible party and tracks future compliance. 

 

In this role, your responsibilities will include:

  • Project Coordination : Plans, coordinates, conducts, and documents Workplace Health and Safety inspections for the Alta Vista Functional Occupational Health and Safety Committee (the Committee), ensuring a seamless coordination of this regulated inspection process with all involved parties. Identifies and communicates trends (good and bad) to influence health and safety messaging and training.  Performs regular, frequent unannounced inspections as a means of identifying deficiencies in personnel performance and as well as the building’s infrastructure.  Independently responds to action items by recommending safer working practices as well as by raising work orders, for example. Performs lower order risk assessments in support of the risk identification process at the faculty level.
  • Records ManagementUtilizes multiple information management systems and software to maintain records/databases and compile reports identifying trends, areas of concern, and corrective measures to be implemented in order to improve health and safety of the community in accordance with University procedures.  These systems include year-to-date Workplace Inspection performance, personnel training, chemical inventory, and chemical waste management, and our emergency management system. Keeps all pertinent information concerning changes in policy, hazard assessments, and the regulatory climate up-to-date. Formats documents and reports a necessary, many of which are technical in nature (symbols, formulae and graphics).
  • Waste Management: Counsels lab staff in the effective and safe management of hazardous waste by ensuring that practices comply with regulatory requirements and university procedures.
  • Access Card Management: Programs electronic building access cards for the Faculty to support onboarding of new staff and students, as well as contract extensions.  If required, will support card processing demands for the Department of Anatomy and Animal Care & Veterinary Services (ACVS).
  • Program Support: Responsible for the Faculty’s Health and Safety website, including required updates and innovative design of new pages, as necessary, to enhance communications. Maintains Health and Safety bulletin boards, faculty first aid kits, and ensures emergency eyewash/safety shower stations are regularly inspected. Monitors the Health, Safety and Risk Management group email account and responds in a timely manner to correspondence by composing and sending letters and memos on behalf of the department. Produces letters related to more complex issues for review by the Manager, Environmental Health and Safety.
  • Community Engagement: Plans, facilitates, and participates in all aspects of workshops and events that harness a wide range of engagement techniques, such as “Take Your Kids to Work” day, Focus Santé, North American Occupational Safety and Health (NAOSH) week, Earth Day and Lunch & Learn sessions. Develops a strong rapport and relationships with stakeholders. Proactively works to build a positive image, increase reputation, prepares event schedules and makes all logistical arrangements such as catering, room bookings and parking. Manages the online registration process for workshops. Manages all workshop logistics, such as scheduling, room bookings and equipment reservations.

 

What you will bring:

Essential Qualifications

  • B.Sc. degree in Basic Science, Biology, Chemistry, or Engineering or other relevant discipline.
  • Minimum 3 years’ experience in a research lab environment or in a regulatory/consulting field emphasizing health, safety and environmental programs, or an equivalent combination of education and work experience.

 

Other Skills and Competencies

  • Knowledge of relevant federal, provincial, and municipal health and safety legislation, regulations and best practices.
  • Experience in interpretation of health and safety codes, standards, or legislation.
  • Experience in conducting inspections of environments typically found in a university setting.
  • Must be willing to immediately respond and participate as necessary to emergency incidents within the group’s remit (e.g., fire alarms, chemical spills).
  • Strong organizational skills and attention to detail in a fast-paced environment
  • Able to facilitate effective and diverse community consultations, programs, and initiatives.
  • Keen attention to discretion, confidentiality, and tact
  • Strong communication skills, including experience with web-design and creating content required to reach different stakeholder audiences.
  • Experience in database functions and tools (MS Access)

This position will ensure legislative and Plant compliance with occupational health and safety by “on the floor” involvement with operations.  This position will include but not limited to; assisting in the development of safe work procedures, training, claims management and assessing/controlling risk to reduce/eliminate accidents/incidents which cause personal injury and/or property damage. The goal of this position will be to standardize safe work methods and recognize high impact behaviours to achieve a world class health and safety program.  The successful candidate will be involved in all Health & Safety activities related to the Heritage Plant.

Snapshot of a Day-in-the-Life:

  • Develops and constructs Safe Work Procedures (SWP) identifying the basic job steps and tasks and their associated hazards and risks and develops safe operating procedures and hazard controls towards sustaining our OHS maturity and growth.
  • Responsible for enforcing the businesses Golden Rules and other site programs through cross functional team meetings.
  • Maintain OHS metrics and documentation with the ability to present this information to applicable parties
  • Design and deliver training programs for workers, management, and Safety Committee members to comply with legislative requirements and improve Health, Safety, Emergency and Security.
  • Assist in the reduction of Health and Safety risks and hazards through onsite behavioral observations and targeted audits
  • Support Pre-Start Health and Safety Reviews (PSRs) for installation of a new equipment, structure, protective element or process, or modifications to an existing apparatus, structure, protective element, or process; such reports are to detail the measures (steps, actions, or engineering controls) necessary to bring the construction, addition, installation or modification into compliance with the applicable regulations.
  • Review and monitor on-site Contractor OHS programs and compliance with applicable regulations.
  • Respond to and provide support in accident response, including first aid and support proper investigation and follow up is completed.
  • Support emergency management activities including drills, tabletop exercises, evacuation support and respond to support the incident command structure in the event of an actual emergency.
  • Maintains content and data analysis of supporting software for the site programs under the purview of the department, including and not limited to SAP, iWarehouse, iNet, Alchemy Sistems, and other PPE or vendor specific platforms.
  • Maintain records and documentation for all programs under your purview.  
  • Ability to ensure integrity of data and confidentiality of employee information
  • Ability to support and influence multiple levels of management within an organization

What You’ll Bring:

  • 3-5 years of experience in progressively responsible H&S roles
  • Previous experience working supporting a large client group in a fast-paced environment within specified time frames is an asset
  • Excellent interpersonal and communication skills are essential
  • Knowledge of compliance and regulatory training of all personnel working onsite
  • Computer proficiency in the Microsoft Office suite of software – MS Excel, MS Word, MS Power Point & Outlook
  • Previous experience working with regulatory bodies such as the Ministry of Labour or Ministry of the Environment would be an asset
  • Knowledge in WSIB claims management would be considered an asset

Qualifications

  • Degree, Diploma from a recognized post-secondary institution in Occupational Health and Safety or a related discipline with coursework in health and safety
  • Degree - Four (4) years experience, Diploma - Six (6) years of experience as an OHS professional, with loss prevention experience and working knowledge in areas such as process safety management, safety management system development and implementation, incident/injury prevention, hazard identification, qualitative and quantitative risk analysis. Equivalencies with years of experience and education may be considered
  • Canadian Registered Safety Professional (CRSP), Canadian Registered Safety Technician (CRST), National Construction Safety Officer (NCSO), Construction Safety Officer (CSO) would be considered an asset
  • Knowledge of municipalities, municipal governance and unionized environments
  • Knowledge of internal and external audits, the Certificate of Recognition (COR) program, and/or ISO45001 Occupational Health and Safety Standard
  • Experience with Contractor Management is considered an asset for this position.
  • Exceptional interpersonal, communication and presentation skills, with the ability to effectively engage with frontline workers, managers, project managers and executives
  • Intermediate to advanced computer skills, including Google applications such as Gmail, Gchat, Meets, Docs, Sheets and Slides
  • Strong time management and organizational skills in order to prioritize activities, adapt to change, and stay focused in a dynamic environment
  • Effective problem-solving and decision-making skills to effectively analyze situations and problems, identify root causes, and recommend solutions
  • Compliance with the City of Edmonton's safety standards for Personal Protective Equipment (PPE), such as wearing steel toed boots, is a requirement for this position

  • Check the daily planner/ communication book for any resident appointments,  any requests or needing follow-up
  • Check and document vaccine, specimen, Medication, and water temperature if no RN is present in the unit.
  • Distribute iPad and other supplies to PSW, with signage, and upon return  Ensure all PSW wear name tags.
  • Communicate with PSW and plan if any lab specimens are needed to collect, such as urine specimens.
  • From the 1st-7th day of each month, remind PSW to weigh residents during their bath days
  • From the 8th-10th of each month, check the weight list to see residents who needs to be re-weighed
  • Complete medication administration and treatment administration.
  • Check blood sugar and administer insulin as per e-mar. Observe for any adverse reaction and effectiveness.
  • Supervise dining room at breakfast and lunch. Assist with feeding. Do not administer medication in the dining room without an order.
  • Complete hydration assessment for residents reported to have decrease fluid intake, send dietary  referral if necessary
  • Attend all care plan meetings and IDTC (Ensure primary PSW attends the IDTC), admission /re-admission, and initiate PSW tasks in POC, Complete medication reconciliation, admission noted and all assessments. Ensure a 24-hour care plan is initiated.
  • For any new admission, complete progress notes and vital signs for the first 72 hours. Complete other admission assessments as necessary.
  • Verify POC documentation during and at the end of the shift and clear the dashboard alerts after interventions are complete and documented in progress notes.
  • During MD days, prepare problem list/update if necessary. Assist MD with rounds
  • Process physician orders and quarterly med review that needs follow-up and second signatures.
  • Complete weekly skin and wound assessment and treatment.
  • Complete the 24hr infection control surveillance sheet for any resident with symptoms of any infectious disease. Ensure PPE and signage are in place and notify family, ICP/DOC, or manager on call.
  • Complete 24hr unit report/ census. 
  • Keep bath and weight schedule updated
  • Complete performance appraisals for PSW, Orientate, mentor and train new staff, including PSW, Complete all education online and attend in-services.
  • Collecting data for indicators (e.g., infection, restraints etc.)
  • Ensure compliance with Extendicare’s policy/procedures/LTCHA legislative, and CNO standards.
  • Follow up with families/residents/staff on any arising issues, address any concerns
  • Report any resident/family /staff concerns to the RN Supervisor/CC/DOC
  • Obtain report from PSW  and complete all documentation in PCC
  • Re-stock medication and treatment carts for the incoming shift  
  • Give Shift report (24 hours report must be given during shift report ) with evening staff. Count narcotics with evening staff.

 

 

Any other duties as assigned by supervisor or delegate. Ensure compliance with Extendicare’s policy/procedures, LTCHA, OHS legislative, CNO standards and as per job guidelines.

Required Qualifications:

  • Two (2) year diploma or equivalent – preferably in Medical Office Administration or equivalent combination of education and experience;

  • Minimum of three (3) years’ experience in a “high demand” medical office setting is required;

  • Must have excellent oral communication skills in order to communicate with clients/patients, physicians and other clinic staff;

  • Must have strong computer skills with knowledge of Adobe, Microsoft Suite, and Outlook Email.  Familiarity with Electronic Medical Record software such as PS Suite is preferred;

  • Ability to work under pressure in a very busy office environment;

  • Ability to work flexible hours, if required;

  • Experience creating Custom Forms in PS Suite is considered an asset;

  • Experience with Ocean technologies, by Cognizant MD, is considered an asset.

Reporting to the Director of Care, the RPN will enhance the effective management and quality of nursing practice

in keeping with the Standards of the College of Nurses of Ontario, Long Term Care Standards and Extendicare

Standards.

 

RESPONSIBILITIES

• Ensure resident care is provide with established nursing standards and principles, physicians’ orders and

administrative policies, as well as, observe, report and record vital signs, symptoms and conditions of

residents, and initiate remedial health measures where appropriate. Assure observance of required

techniques in nursing care.

• Assess residents and develop, implement, review and evaluate resident care plans. Monitor residents’

health, notes changes in condition and assess need for referral to doctors; processes and implement

physician orders.

• Organize and direct functions and activities related to provision of care to residents including restorative

care and palliative care as required. Interprets and implements established policies, procedures, and

regulations.

• Plan, direct, supervise and evaluate the work of nursing and personal care staff assigned to the unit.

Orient and train new personnel and may participate in in-service education. Monitor performance and

conduct performance appraisal and refers problems to the Director of Care.

 

QUALIFICATIONS

• Appropriate current certificate of competence from the College of Nurses of Ontario required.

• Registration or eligible for registration with the Registered Practical Nurses Association of Ontario.

• Comprehensive knowledge of nursing and health care practices, as well as knowledge in Infection Control

Practices.

• Effective human relation skills and demonstrated commitment to working with seniors.

• Effective communication skills and ability to work independently and collaboratively are essential.
