Job Details

Reporting to the Manager, Operational Planning and Analysis, Park Operations, the successful candidate will be responsible for providing timely and accurate administrative and clerical support. Using advanced computer skills and strong organizational abilities, the successful candidate will provide assistance in the efficient day-to-day operation of the Parks and Forestry Operations Teams.

 

Duties and Responsibilities

 

  • Prepare correspondence, spreadsheets, presentations and reports in accordance with corporate standards;
  • Respond to internal and external client inquiries in a timely manner and provide follow-up;
  • Conduct research to support appropriate follow-up as required;
  • Perform all administrative duties including but not limited to: mail distribution, office supplies inventory, print/fax, courier;
  • Prepare minutes of meetings and action items;
  • Provide financial administrative support for processing invoices and expense claims;
  • Maintain files, documents and manuals, and archival records;
  • Responsible for accepting payments, following cash handling policies and procedures and POS reconciliation;
  • Input high quality data for permits, service requests and work orders into central databases;
  • Responsible for tracking Mayor and Councillor requests;
  • Provides customer service front counter support and support to operational staff;
  • Provides backup and support for other Administrative Assistants;
  • Perform other related duties as assigned.

 

Skills and Qualifications

 

  • Post-secondary education in business administration; with a minimum two (2) years of progressive office administration experience or an equivalent combination of education and experience;
  • Knowledge of Omni-Rim, Infor, SAP systems, SharePoint, Agenda Management System and MAX systems is preferred;
  • Cash handling and POS experience an asset;
  • Excellent computer skills with proficiency in Microsoft Office (Word, Excel PowerPoint, Outlook);
  • Strong verbal and written communication skills are required; experience preparing reports and professional correspondence;
  • Ability to demonstrate a high level of tact and diplomacy when dealing with clients, external agencies,
  • Councillors, senior management, different levels of government, etc.;
  • Ability to think critically and problem solve;
  • Excellent attention to detail with strong planning and organization ability to accomplish a variety of tasks, at times with conflicting priorities and timelines;
  • Strong customer service and people management skills;
  • Proven team player with ability to manage conflict and effectively deal with difficult situations;
  • Ability to maintain a high level of confidentiality;
  • Must work effectively with minimal direction and within a team setting.

Specific Duties and Responsibilities

  • Plans, organizes and manages the Associate Directors’ calendars, priorities, appointments, internal and external meetings workshops, etc.
  • Manages the flow/storage of documents and inquires; screens, reviews and edits/proofreads correspondence, emails, telephone calls, voicemails, etc., in accordance with the City’s record management system.
  • Handles sensitive and confidential documents: budget reports, departmental re-organizational structures, grievances, disciplinary letters, performance or attendance management files, contract negotiations, and council reports.
  • Proactively creates and maintains effective workflow and communications.
  • Coordinates meetings and logistics (e.g. scheduling attendees, room procurement, equipment, food/refreshments and minute taking/compiling/distribution).
  • Drafts correspondence, agendas, minutes, e-mails.  Tracks and follows up on correspondence and other types of inquiries ensuring that responses to requests for information from the public, Board Commissioners, Mayor and Council, and other City departments etc., are completed in a timely manner.
  • Organizes efficient and economical travel arrangements, calculating the estimated expenses to be incurred, and preparing necessary documentation.
  • Maintains confidential databases; inputs, updates, reviews, extracts, researches and generates reports.
  • Handles reports from external stakeholders and Departments for Senior Leadership Team review and signature.
  • Prepares, distributes, photocopies, etc., reports, presentations, correspondence, spreadsheets, etc.
  • Acts as an administrative resource for the Park Board with software like Excel, Outlook and VanDocs.
  • Advises on key issues and concerns regarding: meetings, urgencies, and other priorities.  Evaluates priority and urgency of issue/request for time and attention of Senior Leadership team, and decides what issues/requests can be delegated for appropriate action.
  • Liaises with employees, Unions, government officials and legal counsel for information sharing, exchange purposes and complaint management. 
  • Manages media calls by determining the subject, deadlines, and appropriate follow through.
  • Prepares Staff Action Forms and Compensation Action Forms, as required.  
  • Responsible for SAP time entry and reporting and updating personnel files.
  • Provides backup/support for other administrative staff.
  • Other duties/responsibilities as assigned 

 

Qualifications
Education and Experience:

  • Completion of Grade 12, including or supplemented by related administrative courses
  • Minimum 3 years of experience working in a fast paced and challenging service-based environment with a preference given to public service and professional office experience


Knowledge, Skills and Abilities:

  • Extensive knowledge of office practices and procedures.
  • Excellent interpersonal and communication skills, including a thorough knowledge of business English, spelling, punctuation and business math.

  • Coordinate construction projects through ongoing field inspections, risk assessment, ensuring contract compliance, quality control, and adherence to health and safety standards
  • Act as a staff liaison to Advisory Committees as needed;
  • Managing internal and external project stakeholders including multi-disciplinary consulting teams, internal corporate workgroups, senior staff, external agencies, special interest groups, and the general public by applying project management methodologies, tracking work plans, timelines and project deliverables;
  • Researching industry standards and maintaining a current and progressive understanding of trends, legislation and innovative approaches to ensure best practices are used throughout the project process;
  • Preparing concepts and cost estimates for proposed capital projects and providing input into the budget planning process for Parks Development; and
  • Support and demonstrate the City of Oshawa core values of Authenticity, Courage and Trust

Requirements:

  • Demonstrated knowledge and skill generally associated with the completion of a university degree or three (3) year college diploma in the fields of landscape architecture/design technology, architecture, construction management, engineering and seven (7) years in a municipal project management environment, preferably in municipal parks development or municipal capital projects developments.
  • Project Management Professional (PMP) Certification and Project Management experience is considered an asset.
  • Established skills in Microsoft Office Suite, Microsoft Office and experience using relevant software applications (i.e. AutoCAD, GIS, Bluebeam Revue, Adobe including Adobe Creative Suite).
  • Demonstrated technical knowledge in the fields of landscape architecture, park design, architecture and/or engineering design and construction.
  • Knowledge of workplace safety, building codes, and legislative requirements.
  • Experience in preparation of financial and technical reports.
  • Excellent project coordination, strong organizational, research and analytical skills.
  • Highly developed interpersonal skills with the ability to communicate effectively, both orally and in writing, with staff, elected officials, external agencies, and the general public

Responsibilities

  • Direct liaison with customers, consultants and owners. Ensure that client satisfaction has been achieved.
  • Collaborate with the accounting team to ensure cash collections and other accounting targets are being achieved.
  • Ensure project close out items are completed including documentation hand overs and post constitution inspections are completed and approved.
  • Complete project reviews and provide management a close out review upon season or project completion.

Qualifications

 

Educational Background:

 

  • A diploma or degree in Civil Engineering with a C.E.T designation is preferred.  A combination of educational background along with skills/field experience will be considered.  

 

Experience:

 

  • Minimum 2-5 years project coordination and field supervisory experience, estimating experience preferred.
  • Experience managing projects valued $ 500,000 and above.
  • General understanding of construction accounting.
  • Experience managing a project team including jr. coordinators and project support staff.
  • Computer literate.

Job Details

Reporting to the Supervisor of Court Administration, the successful candidate will provide various court administration functions on a rotating basis. In this position you will provide a high degree of customer service to members of the general public, enforcement agencies and other stakeholders; as well as process fine payments and ensure court documents are properly processed and filed.

One year and permanent full time positions available (onsite 5 days per week)

Duties and Responsibilities

-    Provide front counter service to the general public, including accepting fine payments through ICON and Point of Sale (POS) machine
-    Respond to requests and inquiries from the general public and various stakeholders by accessing ICON and CAMS
-    Receive and process payments for fines, fees, restitution and other source revenue and reconcile/balance deposit on a daily basis
-    Sort and process mail, including processing mail-in payments
-    Provide courteous and accurate information and assistance to customers using various methods of communication, including in person, telephone, email and fax
-    Review all forms (appeals, extensions, re-openings, motions) filed with the court office to ensure accuracy and completion based on the rules, regulations and procedures of the Provincial Offences Act and process them in CAMS and ICON, including removal of enforcement
-    Accept, review, enter and file all incoming charges filed by various enforcement agencies and ensure adherence to statutory time limitations
-    Process all Part III Informations filed by enforcement agencies by inputting them into CAMS and ICON once they have been reviewed and signed by a Justice
-    Process Early Resolution and Trial requests that are received through email, fax and in person requests
-    Perform trial scheduling duties, specifically scheduling trials and early resolution meetings
-    Prepare appeal documents, including scanning and transferring matters to the Appeal Court and processing documents once completed at the Appeal level
-    Prepare Fail to Respond dockets
-    Review and respond to all internal and external emails/correspondence
-    Maintain office filing system
-    Provide adhoc assistance on projects/initiatives within the team/unit
-    Provide clerical/administrative support to the Manager and Supervisors as required
-    Performs other duties as assigned

Skills and Qualifications

-    Post Secondary education in business, law administration or court related field or equivalent
-    Minimum of two years experience working in a Provincial Offences office environment
-    Demonstrated knowledge of Provincial Offences Act, Highway Traffic Act and the Courts of Justice Act 
-    Previous court/legal/police administration experience required
-    Knowledge of general office procedures including records management system
-    Knowledge of legislation and processes related to Court Administration matters
-    Experience in a computerized office environment 
-    Working knowledge of ICON, CAMS and Microsoft Office programs
-    Superior organizational skills and the ability to multi-task
-    Exceptional written and verbal communication skills with an emphasis on customer service
-    Working knowledge of general office equipment (computer, printer, various software applications, phone, adding machine, photocopier/scanner, debit/credit card POS terminals)
-    Ability to work independently or as part of a team
-    Ability to lift up to 15 lbs 

Hourly Rate/Salary: $ 58,942.00 - $ 78,592.00
