The Customer Care Representative works closely with various internal and external contacts to effectively and efficiently respond to customer inquiries and requests, provides exceptional customer service through each customer interaction and all contact channels: phone, email, chat, fax, and web. 

 

How You’ll Help: 

  • Be logged in and ready to respond to the queue on time at the beginning of each shift, after scheduled breaks, and throughout the scheduled shift. 
  • Multitask between emails and inquiries via web chat simultaneously 
  • Open and maintain cases within Sales Force based on all customer inquiries/interactions via phone or e-mail. 
  • Collecting and processing customer credit card transactions 
  • Respond to customer inquiries by phone, email, or chat in a timely, accurate, and professional manner.  Seeks answers from the supervisor when unsure, in order to provide the customer with an accurate response. 
  • Be aware of applicable KPIs and work diligently to meet or exceed, including time to answer, time on call, etc.   
  • Work with other members of the team to improve individual and team performance. 
  • Other related duties as may be required. 

 

Your Skills and Experience: 

  • Minimum high school education 
  • Call center/customer service training a strong asset 
  • Training in conflict resolution/mediation an asset 
  • Previous experience in a call center or customer service role is a strong asset, preferably in the transportation or logistics industry 
  • Positive and professional customer service skills, including an appropriate sense of urgency and genuine interest in resolving customer concerns and/or requests. 
  • Advanced communication skills, both verbal and written.  Bilingual skills in French (verbal and written) a strong asset 
  • Excellent computer skills, including MS Office; previous experience with Sales Force, TruckMate and Cisco a strong asset.  
  • Excellent keyboarding skills, both speed and accuracy 
  • Ability to multitask efficiently 
  • Advanced problem solving skills 
  • Ability to say “no” or deliver unfavorable information in a positive and professional manner.

JOB SUMMARY

You are the first point of contact for all inquiries relating to Human Resources and Payroll, Pensions, and Benefits for City of Ottawa employees. Your responsibilities include using a broad base of knowledge and strong communication skills to provide effective front-line support, guidance, and expertise to employees on related policies, procedures, and practices. You efficiently handle a variety of inquiries, transactions, and issues relating to HR, Payroll, Pensions, and Benefits programs and processes.

Your role involves interpreting and applying HR, payroll, pension, and benefit policies accurately, while exercising good judgment and discretion in your interactions. You also provide support, troubleshooting and problem resolution to users of self-service tools.

Additionally, you are responsible for maintaining the integrity of data in various secure systems, such as the OMERS Pension Plan's site and insurance carrier's site, Canada Life, as well as updating and auditing master data in SAP, in response to employee and manager requests.

EDUCATION AND EXPERIENCE

Completion of 2 year community college diploma in Business or related field

Minimum of 3 years of related experience in a variety of Payroll and/or HR functional areas with an emphasis on front end client service

CERTIFICATIONS AND LICENCES

Related Accounting, Finance, Payroll and/or Human Resources certification is preferred

KNOWLEDGE

  • Customer service principles

  • College diploma or 2 years’ relevant work experience

  • Tech savvy / power user: highly comfortable in the digital landscape and confident to learn-by-doing with new software
  • Creative problem-solver, with a demonstrated ability to be resourceful in finding solutions and workarounds especially in a software context

  • Supervises, schedules and trains assigned staff, and ensures duties are performed in accordance with City and Departmental policies and standards.  Assists with the recruitment process and performs disciplinary action, as required.
  • Oversees the Corporate knowledge base and maintains communication with internal stakeholders. 
  • Reviews and recommends improvements to customer service and tracking programs within the Department.
  • Resolves issues regarding customer concerns or questions related to Service Saskatoon policies and practices,and is responsible for a customer tracking system.
  • Assists with the development of Customer Service policies, procedures, manuals and directives for the section and monitors and ensures accuracy in responses to public inquiries and implementation of policies.
  • Performs the duties of the Corporate Service Delivery Coordinator as required.
  • Performs other related duties as assigned.

Qualifications

  • Graduation from a two-year, post-secondary program in a related field.
  • Four to six years’ experience in customer service, including two years’ in a supervisory role.
  • Possession of a valid, Class 5 Saskatchewan Driver’s Licence.
  • Current driver’s abstract from SGI demonstrating a safe driving record.
  • Ability to supervise and develop staff.
  • Ability to analyze data, identify underlying issues/problems, and recommend required changes.
  • Ability to establish and maintain effective relationships with assigned staff and the public.
  • Ability to communicate effectively orally and in writing.
  • Skill in the use of a computer using the Microsoft Office suite
