How You’ll Help

  • Provide administrative support to the managers and office staff team and ensure that administrative matters are organized and dealt with in a professional manner.
  • Broker payroll processing including the inputting of City Drivers payroll in the terminal; confirmation of information provided by brokers and data entry for the terminal; providing brokers with invoice copies; and fielding inquiries as to payroll discrepancies.
  • Welcome clients; ascertain nature of business and direct clients to appropriate managers and employees.
  • Schedule driver appointments.
  • Send appointment requests via fax, email, and telephone.  Update system with appointment information.   Manifest and arrange appointments.
  • Input pick up BOL’s and update POD’s.
  • Pick-up Bills and POD’s: Enter bills and POD’s. Upload and edit EDI files. Ensure COD and cash shipment payments are received before tendering to agents.
  • Agent Freight: Tracking and updating system information on shipments for agent delivery.
  • Reports: POD reports – following up on PODs Make sure PODs are imaged. Missed appointment report following up with customers if freight not delivering.
  • Call customers regarding appointment change, status, issues regarding appointment. 
  • Log customer interaction consistently and accurately in AS400. 
  • Redirect documents intra- and inter-terminal as well as to customers as needed.
  • Answer phone calls and email enquiries and relay calls and messages to appropriate managers and employees.
  • Attend meetings, take notes, and follow up on decisions within area of responsibility.
  • Order office supplies and maintain inventory for the terminal.
  • Create manifests, verify the weight for all LTL loads, load trailers, ensuring that the number of boxes/ shipments, weight and dangerous goods information is correct and complete.
  • Prepare manifests for trucks crossing from Canada to US border and vice versa.
  • Assist drivers with preliminary paperwork information such a bill of lading, trip envelops and border crossing procedures.
  • Input skeleton bills into the system ensuring that all critical information is input, enter comments regarding damages, shortages and ensure required signatures are present.
  • Gather, enter, and update data to maintain software database on daily basis as appropriate, establish and maintain files and records.
  • Ensure that correct information about missed pickups and deliveries is rescheduled.
  • Mentor and train office staff in procedures and in use of current software.
  • Assist with data entry.
  • Dispatch some night runs/shifts, and extend vacation coverage for dispatch.
  • Other related duties as may be required.

Your Skills & Experience: 

  • Minimum of secondary education, with preference of post-secondary education (general stream), or a combination of education and experience.
  • Previous Transportation or operational experience is preferred, various roles within transportation would be beneficial .
  • Computer literate in Excel and Word.
  • Equipment knowledge is an asset.
  • Strong problem solving skills with the ability to implement proactive solutions to support operational demands and efficiencies.

Duties and Responsibilities

 

  • Post and track remittances;
  • Perform monthly reconciliations for various areas;

Skills and Qualifications

 

  • Completed post-secondary degree/diploma with a focus in finance, accounting, business, public administration or a related field;
  • Minimum four years related experience in customer service, credit and collection;
  • Previous experience in municipal taxation, provincial fines, accounts receivable and/or bankruptcy is an asset;
  • Completion of the Municipal Tax Administration Program is an asset; 
  • Knowledge and understanding of relevant legislation, procedures, by-laws and policies including but not limited to the Municipal Act, Provincial Offence Act, and Collections;
  • Exceptional verbal and written communication with the ability to handle sensitive and controversial issues with tact and diplomacy;

You are responsible for all aspects of the day-to-day delivery of the intake/assessment process, therapeutic recreation, social and recreational aspects of the program.

EDUCATION AND EXPERIENCE

Completion of 3 year university degree in psychology, sociology, therapeutic recreation, social work, education or related field

Minimum of 3 years of related experience working with special populations in social service agency, rehabilitation, clinical, or therapeutic recreation environment

Experience in supervision of staff and volunteer management

CERTIFICATIONS AND LICENCES

Crisis Prevention/Intervention training certificate
Current Standard First Aid, CPR and/or AED certificates
Valid Ontario unrestricted G class driver’s licence (or provincial equivalent) with no more than 6 demerit points accumulated

AREA OF RESPONSIBILITY:

Reporting to the Supervisor, Administrative Services, the Coordinator, Administration is responsible to coordinate the administrative functions for East/West district facility teams which support the programs and services offered at multiple facilities.  The Coordinator, Administration will directly supervise the Recreation Admin Clerk, and have dotted line reporting relationships with the Facility Clerks to ensure administrative functions are achieved within prescribed timelines and quality service standards. Act as a key source of contact to meet operational needs and corporate service standards.

 

KEY RESPONSIBILITIES

  1. OPERATION SUPPORT
  • Provide day-to-day coordination, guidance and support for defined programs, processes, policies, practices and project initiatives to meet operational needs and corporate service standards.
  • Ensure appropriate financial and statistical records are maintained including the review of daily revenue packages, oversite of transactional documentation, management of accounts receivable, monitoring of facility usage, and inventory control management.
  • Maintain tight controls on cash handling standards and any associated procedures to ensure that they are implemented and maintained consistently.
  • Provide procedural guidance to ensure operational compliance with audit recommendations, administrative procedures, policies, and practices.
  • Oversee facility payroll & HR administration to ensure accuracy, accountable management oversite, and timely reporting.
  • Audit administrative processes (e.g. cash handling, payroll, liability insurance, etc.) to ensure adherence and compliance to corporate and departmental standards.
  • Advise and follow-up with supervisory teams concerning reporting requirements, processes and deadline adherence.
  • Oversee concession operations at the facilities. Conduct analysis and reporting on inventory management, variances, quality control, and margin variables to optimize sales and minimize spoilage.
  • Monitor, track and report on administrative and financial compliance (e.g. cancelled transactions, cash overage/shortage, transaction adjustments, liability insurance, refunds, etc.) highlighting trends and inconsistencies.
  • Provide support to Compliance Coordinator to implement recommendations appropriate at facilities.
  • Attend meetings as required and record and distribute meeting minutes if required.
  • Perform other related duties as assigned.
  1. CUSTOMER SERVICE
  • Support facility customer service teams with internal and external customer service by processing and responding to a variety of inquiries and service requests; while adhering to corporate practices and standards.
  • Ensure high customer service standards are maintained for all programs and services. Review and evaluate admission processes and standards to ensure an optimal customer experience.
  • Act as a key source of contact and provide guidance, advice and support to ensure coordination meets operational needs and corporate service standards. Escalate complex issues to appropriate level for resolution.
  • Build and maintain a relationship with cross-functional departments, team and management to support coordination and ensure a thorough understanding of operational needs.
  1. COMMUNICATION AND REPORTING
  • Review and report inventory (District manager/Recreation supervisor inventory discrepancies, PLU sales, cash/float variances, revenue YTD/Budget).
  • Report on garbage tag/bin inventories.
  • Prepare management reports, presentations and general ad hoc information as required accurately by established timelines.

EDUCATION:

 

  • Post-secondary degree or diploma in Administration, Business or equivalent in related field

 

REQUIRED EXPERIENCE:

  • Minimum 3 years’ administrative experience in a customer service focused environment preferably in both public or unionized environment is an asset;
  • Previous supervisory or leadership experience is considered an asset. Exposure to working in a unionized environment is preferred;
  • Previous cash handling, inventory control and financial reporting experience is considered an asset;
  • Knowledge of municipal policies, procedures and experience is considered an asset.

 

OTHER SKILLS AND ASSETS:

  • Thorough Knowledge of Municipal, Regional, Provincial and Federal Governments and applicable Legislations is an asset
  • Ability to identify business needs, initiate and coordinate project resource requests
  • Solid Customer Service and People Management skills; Interface with internal and external customers to meet corporate service standards

What You'll Do:

  • Responsible for prioritizing workload to ensure the group’s objectives and deadlines are met. Acts as a culture carrier, monitoring adherence to policies and escalating as required.
  • Establishes sound business relationships by providing courteous and efficient assistance to both internal and external clients.

Client Related Support

  • Client files/ materials:  Organizes, copies and maintains administrative files, correspondence and other records/materials as required.  Assists with pitch book binding if required, using in-house binding system
  • Office phones:  Answers and screens telephone calls on a multi-line system, arranging conference calls and videoconferencing using Scotia preferred vendors

 
Business Management/ Admin Team Support

  • Assist with onboarding and offboarding of new/terminated employees, coordinating with HR, Technology and Facilities
  • Point of contact for visiting staff. Pre-registers all guests, including employees from other locations. Assumes local support including assigning office passes, desk space, room bookings, etc.
  • Acts as an alternate resource/backup for the other Administrative Assistants during lunch hours, breaks, end of day, illness and other absences, and shares in Admin Team responsibilities to support sector team and CIB business
  • Comprehends and adheres to policies implemented by the Global team; coaches and ensures CIB team has support to evidence they are in compliance with policies and procedures
  • Actively pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk


Work Arrangement:

What will you do?

  • Act as the key contact for the executive that you will be supporting.
