What you will do

  • Provide administrative support to partners, senior managers, managers and client service teams.
  • Adhere to risk management and branding in compliance with National guidelines ensuring accuracy and completeness.
  • Coordinate, prepare, edit and/or proofread documents such as correspondence, presentations, and reports using various software.
  • Proactive and independent management of partners’ calendar and contact database in order to maximize best use of the partners’ time.
  • Coordinate travel arrangements
  • Coordinate meetings, conference calls, video conferences, live meetings, and organize required materials.
  • Assist in the proposal process as required, working with the proposal team and proposal coordinator.
  • Assist in the preparation and submission of time and expense reports for the partner(s) supported.

KPMG BC Region Pay Range Information

In British Columbia, the expected base salary range for this position is $46,000 to $70,000 and may be eligible for bonus awards. Job Summary

Duties and Responsibilities

 

  • Manage the complete contract lifecycle, including preparation, procurement, execution, monitoring and closure
  • Prepare effective specifications for maintenance service and repair contracts related to City facilities including analyzing bids and making recommendations of maintenance contracts
  • Ensure that all contracts adhere to relevant regulations, policies and legal requirements while mitigating risks and maintaining the City's best interests

  • Monitor contract budgets, manage invoicing, track expenditures and provide regular reports to management, identifying any potential cost overruns or discrepancies

Main Purpose and Function

The After-Hours Public Works Dispatcher performs a large variety of complex clerical work including: Public work call handling; dispatching of crews and equipment; responding to regular after-hours public works emergency calls; access control, directing visitors to their destination; utilizing a call/work management system (Hansen) for recording calls, work history, dispatching and calling out work crews, and data entry including payroll time entry.

 

The After-Hours Public Works Dispatcher performs their duties with relatively little supervision and is required to make decisions based on knowledge of departmental and City policies and procedures.

 

The successful candidates must have a large degree of flexibility to meet operational requirements which are 24 hours a day, 7 days a week, including ability to work overnight shifts, weekends and statutory holidays on a pre-scheduled and short-notice basis. The shifts are based on an 8-hour work day and may include 7:00am - 3:00pm, 3:00pm - 11:00pm, or 11:00pm - 7:00am.

 

Specific Duties and Responsibilities

  • Researching and providing complex and accurate utility information from utility maps, external utility companies, GIS, VanMap and Hansen to crews and the public upon request.
  • Monitoring, reporting and responding to water, sewer, intrusion, fire and other system alarms.
  • Maintaining and updating computer and manual record systems.
  • Answering the phone and dispatching crews.
  • Performing SAP data entry for payroll time entry, costs and billing.
  • Providing liaison from mobile users to branch offices, City Hall and other public agencies as required. Assist Police, Fire and related departments under emergency conditions.
  • Dealing extensively with staff and the public.
  • Word processing, spreadsheet and database duties as required.
  • Creating and maintaining office files.
  • Performing other related work as required.

 

Qualifications

Education and Experience:

  • Completion of Grade 12, including or supplemented by courses in mapping software, MS Office programs and other standard software courses, or an equivalent combination of education and experience.
  • Considerable related clerical experience working with computerized record keeping systems, as well as excellent numerical skills with good attention to detail, effective keyboarding and accurate data entry ability.
  • Preference will be given to candidates with prior public works dispatch and operator experience 

 

Knowledge, Skills and Abilities:

  • Considerable knowledge of applications such as MS Word, Access and Excel are required.
  • Knowledge of OMS, VanMap, ENGIS, SIS, Hansen and SAP or equivalent programs are preferred
  • Good organizational skills to handle a heavy workload, and demonstrated ability to handle volume with deadlines, frequent interruptions and changing priorities.
  • Demonstrated problem solving skills, and excellent interpersonal and communication skills are essential.
  • Some experience in doing payroll time entry, accounts payable and activity allocations in SAP;
  • Experience in using and operating a maintenance/asset management systems such as Hansen and a sound knowledge of underground utilities and knowledge of operational work for street maintenance and traffic crews and underground and overhead utility crews.
  • Ability to remain motivated working alone.
  • Good attendance is of operational importance.

This position involves providing information to police officers and courts, as well as ensuring effective service delivery to internal and external clients with regards to CPIC requirements.  The CPIC Unit requires one (1) individual to assume the following responsibilities: 

  • Ensure the CPIC Unit is aligned with the Branch and Division strategic priorities by developing and advancing the Unit’s goals and objectives, as set out by the leadership team.
  • Supervise and coach/mentor all employees who work in the CPIC Unit to ensure quality customer service and all CPIC functions are maintained to National CPIC standards and performance metrics.

  • Prepare and deliver employee performance reviews.
  • Measure and report on the Unit’s performance measures and outcomes to the Branch’s leadership team.

Qualifications

  • Completion of the twelfth (12th) school grade.  
  • Completion of a certificate program from an approved business school/college would be considered an asset.
  • A minimum of five (5) years progressively responsible and diversified office experience, including a minimum of two (2) years experience in the supervision of a moderate to large clerical support unit.
  • A minimum two (2) years progressively responsible experience with CPIC system and CPIC compliance protocols is an asset.
  • A minimum two (2) years experience with the administration of criminal justice/court records and use of police information systems, including provincial or municipal police information systems.
  • Proven leadership ability, able to make sound decisions, use good judgment and identify priorities in a high-pressured environment.
  • Excellent interpersonal, communication (oral and written), and teamwork skills.
  • Experience in using Microsoft Suite (Word, Excel, Teams).

  • As part of your pre-hire screening, you will be required to complete an Enhanced Security Clearance.   • Track and update system information on shipments for agent delivery. 
  • Assist drivers with preliminary paperwork information such a bill of lading, trip envelops and border crossing procedures 
  • Broker payroll processing including the inputting of City Drivers payroll in the terminal; confirmation of information provided by brokers and data entry for the terminal; providing brokers with invoice copies; and fielding inquiries as to payroll discrepancies. 
  • Reporting: POD reports – following up on PODs Make sure PODs are imaged. Missed appointment report following up with customers if freight not delivering. 
  • Mentor and train office staff in procedures and in use of current software 
  • Dispatch some night runs/shifts 
  • Other related duties as may be required 

Your Skills and Experience: 

  • Minimum of secondary education, with preference of post-secondary education (general stream), or a combination of education and experience. 
  • Previous Transportation or operational experience is preferred, various roles within transportation would be beneficial. 
  • Communication skills - advanced 
  • Computer skills – accuracy, Truck mate MS products, AS400, web based programs 
  • Demonstrated customer relationship skills

Provides clerical support to various management and operational functions, including, but not limited to, photocopying, filing, faxing, emailing and answering telephone Reviews, researches and/or enters data in various systems to support respective functional area Compiles data and provides various regular and adhoc reports to management for review and determination Serves as frontline customer service to receive, solve and/or escalate customer inquiries and issues Assists management with Business Control Self Assessment (BCSA) audit activity by retrieving data and/or files for review In addition to the above essential functions, the following functional area assignments have additional essential functions as noted below: Additional Quality Assurance/Loss Prevention essential functions: Supports ability for timely delivery and mitigates loss and damage by performing address searches/corrections through various sources and ensuring packages are in good condition for the customer Prioritizes workflow to maximize the number of packages that can be resolved and sent out for delivery in the same day Ensures all packages receive appropriate scan statuses. Inspects and handles hazardous material damages as per policy. Ensures all loose product is accounted for as per company policy Researches missing packages to understand the root cause of scanning failures and compiles information on disputed deliveries for management review Reviews and trends loss and damaged claims filed to identify improperly charged claims and brings to the attention of management Additional Linehaul essential functions: Reviews and enters all Independent Contractor (IC) settlement information into appropriate system to ensure proper payments. Enters settlement adjustments as directed by manager Compiles required documentation to establish and maintain Department of Transportation (DOT)-required files. Verifies timely log entry into system Enters all individual vehicle mileage record information into the system and works with ICs and Linehaul staff to rectify any issues Tracks a variety of metrics, including the IC charge back program, complaints and maintenance compliance and prepares weekly reports for management review Serves as initial contact to receive IC inquiries or issues relating to settlement, uniforms, decals, etc., to route to management for appropriate resolution

Minimum Education

High School Diploma or GED required

Minimum Experience

Two (2) years customer service, clerical or related experience required; experience in dock operations environment or distribution center setting preferred

KEY DUTIES & RESPONSIBILITIES 

 

Safety Ownership and Regulatory Compliance:

Project Administration

Project Financial Administration 

  • Works with relevant stakeholders to collect vendor qualification documentations and ensure vendors are activated and set up within financial systems. 
  • Administers the purchase order process. 
  • Reconciles purchase orders to invoices to ensure accuracy. 

 

Project Reporting 

  • Prepares various reports to support monitoring of project progress, costs, key performance indicators, etc. 
  • Reviews and communicates risks to Project Managers. 

 

Project Close-Out Administration 

  • Administers project close out requirements - Follow all Technical and Financial Close out Protocols and Checklists to avoid any close out backlog as per KPI list and ensure key activities are complete. 
  • Gathers and ensures receipt and sign-off of all project documentations. Files project documentation. 
  • Ensures receipt of all invoices. Follows up with vendors where required. Reconciles purchases to invoices to ensure accuracy and ensures all invoices are paid. 
  • Reviews and reconciles actual project expenses against cost estimates. 

 

Project Handover to Operations –  

  • Supports the collection and handover of project closeout documents (CMMS, Environmental reports Warranty packages, manuals, as builts, permits), Minute Templates 

 

Integration / Collaboration with Operations and Other Groups 

  • Work in Collaboration with Key BGIS Account Team Members – Health and Safety, Environment, Capital / Asset Planning, Operations and technical services, Energy Management, Heritage, Workplace etc to ensure review of project scope and alignment to key requirements in these departments. 

 

Project Performance, Approvals, Reporting and Data Integrity 

  • Responsible for the full adoption of BGIS PM Technology, Dashboards and Reports as the centralized data warehouse for all project information 
  • Ensure all project documents / approvals are complete within the system and are reviewed for completeness and accuracy 
  • Review and use key dashboards (PM System and/or BI) regularly (daily, weekly as required) as per BGIS protocols to monitor project performance and adhere to outlined MSA Key Performance Indicators 
  • Support the Project Manager to prepare status reports as required for client and BGIS updates on Project Health 

 

Client Relationship Management 

  • Develops and maintains effective relationships with clients. 
  • Accountable for resolving issues, managing client expectations, and ensuring client satisfaction. 
  • Escalates issues as needed 
  • Other duties as assigned. 

 

KNOWLEDGE & SKILLS 

 

  • Administrative, coordination and organizational skills – administrative and organizational skills along with related administrative and coordination work experience. (3 to 5 years of project administration work experience or administrative work experience) 
  • Communication –effective communication and influencing skills.  
  • Computer proficiency – proficient in and experience with MS Office suite of applications along with proven ability to quickly learn new applications.   
  • Ability to work independently with little or no supervision.
