The RBC Dominion Securities branch located in downtown Vancouver is looking for an Administrative Assistant to provide administrative support to a successful Portfolio Management/advisory Team. The successful candidate should have administrative experience, exceptional communication skills, and have a focus on providing outstanding client service.

 

*This is a 12 month contract maternity leave coverage with the possibility of extension*
 

What will you do?

  • Prepare account opening documentation
  • Follow up on documentation with clients or back office as required
  • Follow up on client trades to ensure proper settlement and delivery
  • Maintain current knowledge of client accounts by reviewing daily activity online and on an applicable reports
  • Maintain all pending plan transfers to ensure proper settlement and delivery
  • Schedule portfolio reviews
  • Prepare client review materials, correspondence and reports
  • Utilize contact management system for daily task management and client record-keeping
  • Assist in filing and preparing mailings such as seminars, newsletters and information packages.
  • Conduct various administrative functions as required including the review of incoming mail and answering telephone calls.

The expected base salary range for this particular position is $37,500 - $45,000 depending on your experience, skills, and registration status, market conditions and business needs.

Facility Operations Coordinator Full-time Job

The Operations Coordinator is primarily responsible for operations coordination service delivery management & client relationship management in order to ensure smooth daily operations.

KEY DUTIES & RESPONSIBILITIES

Portfolio Management

  • Assists in ensuring facility uptime objectives are met. Ensures the continued safe and reliable operations of the portfolio of facilities managed.
  • Creates and implements annual facility management plans. 
  • Collaborates with relevant stakeholders and oversees the implementation of facility-related operations.
  • Oversees maintenance and repair activities and performance of internal Technicians and service providers.  Ensures work is completed on time, safely and meet quality requirements.
  • Ensures all relevant documentation (i.e. annual facility inspections, equipment data, project files, etc) are captured within service maintenance databases.
  • Collaborates with relevant stakeholders to evaluate capital assets (i.e. equipment, etc.) and to make recommendations for maintenance, repair and replacement and inclusion within the capital budget. 
  • Continuously seeks ways to gain greater efficiencies through activities such as recommending and implementing best practices, collaborating with internal teams to implement sustainable practices and improvement initiatives, utilizing internal Technicians wherever possible, etc.
  • Collaborates with relevant stakeholders to optimize assigned portfolio and continuously create value for the client.

Service Delivery Management

  • Responsible for meeting client obligations under Facility Maintenance and Services Agreement (FMSA) in a P3 environment.
  • Resolves problems and/or conflicts and maintains open communication with the client including providing regular written and oral reports to ensure satisfaction.
  • Recommends solutions and implements appropriate actions for issues.
  • Monitors service delivery performance against established metrics/key performance indicators.  Identifies gaps, develops and executes corrective action plans to ensure all objectives are met.
  • Monitors all service requests to ensure within agreed upon scope and escalates to senior management, where required.
  • Responsible for ensuring compliance to all legislated, corporate and industry-related requirements and guidelines including but not limited to environmental, health and safety, and building standard requirements.

CMMS Work Order System Management

  • Directs new event traffic for response and completion, assigns work orders and ensures completion.
  • Confirms data is correct and directly makes amendments or requests amendments through the Client.
  • Checks daily events to ensure appropriate classifications are made for both work type and Response / Rectification.

Risk Management, Emergency Preparedness and Business Continuity Planning and Execution

  • Collaborates with relevant stakeholders on incident management-related requirements

Health, Safety, Environment & Security

  • In collaboration with Environmental, Health, Safety and Security Team, administer vendor safety-related accreditation, training and qualification, where required.
  • Organizes and facilitates health and safety-related meetings with vendors to ensure ongoing safety compliance. 
  • Monitors and is responsible for the safe delivery of all work performed within assigned portfolios.

Client Relationship Management

  • Develops and maintains effective relationships with clients.  Ensures ongoing client satisfaction.
  • Acts as the focal point of escalation for issues pertaining to facilities managed.

Project Management

  • Develops and executes project plans and related estimated costs and budget for assigned portfolio.
  • Oversees project delivery.
  • Liaises with relevant stakeholders to ensure projects are delivered with minimum disruptions to facilities and all relevant data are received and updated into database.

Regulatory Compliance

  • Ensures all regulatory compliance requirements have been performed and all related documentations are created and maintained

Procurement

  • Ensures the availability of an adequate inventory of tools and other supplies to operate the facilities.  
  • Other duties as assigned.
    • 3 to 5 years of facility management work experience is an asset but not required.

  • Utilizing proper handling techniques to ensure the customer’s freight is protected from damage 
  • Other related duties as may be required.
  • Ensure all inbound and outbound Freight is accurately and efficiently received and shipped daily in accordance with company procedures.
  • Organize and direct inbound and outbound freight to city and line haul trailers
  • Assisting with administrative duties related to shipments.

Your Skills & Experience: 

  • Minimum of secondary education, with preference of post-secondary education (general stream), or a combination of education and experience.
  • Forklift certified
  • Trained in the Transportation of Dangerous Goods
  • WHMIS certified
  • Previous Transportation or operational experience is preferred, various roles within transportation would be beneficial 
  • Ability to lift up to 75 lbs

Main Purpose & Function

The Project Engineer represents the Engineering department applications land devellopment projects that fall under the Policy, Planning, and Rezoning section of the Development and Major Projects branch.

 

The position reports to the Section Head of Policy, Planning and Rezoning. The position works in a small team of staff made up of civil engineers, and support staff. The Project Engineer works with a number of branches in the department as well as interdepartmental staff, representing the department’s interests in development projects in the policy, rezoning and construction phases.

 

Specific Duties & Responsibilities

  • Responsible for facilitating development in the rezoning application process and construction phases
  • Negotiates directly with internal staff, developers, consultants and outside agencies to establish the City’s needs for developer related infrastructure improvements, focusing on the enquiry to rezoning enactment stages
  • Implements and provides input on development conditions for enquiry and rezoning applications through coordinating the department’s review with feedback from various internal groups and preparing memos and reports for approval, including conflict resolution.
  • Provides technical advice and resolves technical issues and conflicts with other departments, developers, architects, engineers, and contractors including organizing and attending meetings
  • Responsible for instructing Legal Services and reviewing draft agreements to facilitate development, primarily for the purposes of securing development conditions for public works and rights-of-way
  • Administers collection of letters of credit / security and cash payments for rezoning permits
  • Support developing relevant department by-laws, policies and guidelines
  • Fosters the relationship between the City and the development/construction industry, with a focus on minimizing impacts to residents, business owners and the public
  • Chairs meetings between internal staff, developers, and consultants
  • Makes presentations to Council, Committees of the Whole, and advisory committees to Council
  • Manages the design, construction, and acceptance process for large-scale developer funded road works including financial account management
  • Responds to public enquiries regarding development projects
  • Other duties/responsibilities as assigned

 

 

Qualifications

Education and Experience:

  • Bachelor’s degree in Civil Engineering with a Professional Engineer designation and a minimum of 4 years related experience involving a broad range of engineering, operational and administrative responsibilities, or equivalent combination of education and experience. 
  • Registration or eligibility for registration as a Professional Engineer in British Columbia. An experienced Engineer-In-Training will also be considered.
  • Municipal Engineering experience would be an asset

 

 Knowledge, Skills and Abilities:

  • Extensive knowledge in the City’s land development process and relevant City by-laws
  • Experience in engineering and project management including planning, detailed design, construction, and contract management of engineering projects.
  • Demonstrates a clear understanding of the department’s role in the land development process
  • Ability to effectively negotiate complex issues with developers in the best interest of the department, City, and taxpayers
  • Ability to build relationships and influence others while respecting the sensitive and political challenges that impact decisions
  • Ability to manage multiple projects and processes with competing schedules and resources
  • Strong written and oral communication skills
 

 

Where operationally appropriate and subject to change, the City of Vancouver has a Flexible Work Program. This program allows staff to work remotely 1 – 4 days a week from locations that are a daily commutable distance from their work at a City worksite.  At this time this position is eligible to be part of the Flexible Work Program.
