Reporting to the Director of 311 & Customer Access, the Administrative Office Coordinator is responsible for coordinating and supporting the teams delivering service to Edmontonians and Employees to ensure the effective and efficient execution of day to day activities of running the operations.
The primary responsibilities of the position include:

- General administration & internal communication
- Special projects and process improvements
The Administrative Office Coordinator requires a high degree of professionalism, attention to detail, discretion in handling confidential information, and strong organizational and time management skills. As the sole support the individual primarily supports the leadership team however extends to all other individuals who work in the section.
As an Administrative Office Coordinator, with a focus on the City of Edmonton’s Cultural Commitments to be Safe, Helpful, Accountable, Integrated and Excellent, you will:
- Provide end to end meeting support by scheduling meetings, preparing agendas, taking, transcribing, and distributing meeting minutes
- Create, process and maintain files in accordance with records management including contact lists, position management, and assets
- Ensure document management, retention, disposition and distribution adhere to all FOIP requirements and record management procedures
- Create and process purchase requisitions, reconcile and process invoices and coordinate corporate procurement card transactions, review and approvals
- Prepare vendor agreements following purchasing standards
- Support events by assisting with scheduling activities, catering, facility set up, technology, etc
- Communicate with various offices to ensure information and events are relayed between facilities
- Provide coordination and reception services for all visitors, inquiries, facility matters and deliveries
- Coordinate and maintain office equipment, furniture, supplies, phone inventory and other work space requirements
- Coordinate and implement ergonomic assessment workspace changes, provide oversight of OH&S inspections, provide oversight of implementation of action items from OH&S inspections and implement action items from Hazard Assessments
- Coordinate and/or lead a variety of projects and initiatives within the Section
- Represent 311 & Customer Access by participating on internal committees or cross-functional teams
- Perform additional related duties as assigned
Qualifications
- Completion of the twelfth (12th) school grade including business subjects with emphasis on general office practices or completion of an appropriate certificate program from an approved business school/college
- A minimum of three (3) years in a large, complex organization with progressively diversified data entry experience with extensive knowledge of work processing and data entry including preparing, editing and proofreading correspondence, taking and preparing minutes and providing clerical support. As well as experience in office, coordination related to vendor and facility management
- Proficient in the use of computer programs: Internet, Word Processing (Word, Google Docs), Spreadsheets, (Google Docs), Presentations, Email (Gmail) and SAP (ECC & Ariba)
- Proficient in the use of office equipment: Computer, Voice Messaging, Photocopier, Fax Competencies
- Understand ethical behavior and business practices and ensure own behavior is consistent with company standards and align with the values of the organization
- Establish and maintain positive working relationships with others both internally and externally
- Speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques
- Focus on Client Needs: Anticipate, understand, and respond to the needs of internal and external clients to meet or exceed their expectations
- Work cooperatively and effectively with others to set goals, resolve problems, and make decisions that enhance organizational effectiveness

- Determine strategies to move forward, set goals, create and implement actions plans, and evaluate the process and results. Solve Problems: Assess problem situations to identify causes, gather and process relevant information, generate possible solutions, and make recommendations and/or resolve the problem.

Qualifications

- Send billing advices/credit memos to the corporate accounts receivables team for invoices to be generated
- Submit any cheques to the corporate team that are received as payments
- Scan and track these cheques for future reference
- Run regular periodic reports in SAP to ensure that billing advices are created for all billings that show up in the system, other files etc.
- Work with the business area to ensure everyone is following the process to trigger creation of the billing advices
- Support in the accruals process
- Work collaboratively with multiple staff across the various sections within the PARS branch
- Ensure billing advices are created in a timely manner
- Collaborate with the business areas to provide timely responses to vendor/customer inquiries
Qualifications
- Grade 12 education is required
- Minimum three years of experience in billing with demonstrated ability to maintain successful working relationships with various stakeholders and accurately completing invoicing/billings
- Training in basic accounting including customer billing and cost control
- Basic knowledge of accounting principles
- Attention to detail as this work impacts our ability to send out correct invoices to vendors/customers

- Ensure all scheduled collections are completed on time and coordinate delivery with marketplaces as part of the Waste Drop-Off team
- Select the most efficient routes for travel to and from work areas and disposal locations
- Record materials collected, weights, times and locations of pickups on the daily progress sheet
- Perform pre-trip and post-trip inspections, follow regularly scheduled maintenance and report defects on collection vehicles
- Answer questions and/or complaints from the public concerning the recycling depot program
- Maintain a clean and sanitary collection vehicle, including cleaning hoppers and traps daily
- Maintain a positive customer service attitude and adhere to all work, safety and environmental regulations/procedures
Work Environment: Extended periods of driving in all weather conditions. Physically strenuous labour is required when loading and unloading roll-off bins and cleaning material from around recycling depot bins.
Qualifications

Reporting to the Supervisor of Business Performance & Analytics, the Operations Analyst provides the technical, analytical and project management support to Infrastructure Operations. Working within the Parks and Roads Services Branch, this role interfaces across various stakeholders in the different Departments, Branches, Sections and Units of the Municipal Government to collaborate on delivering corporate, department and branch strategic and operational plans, policy development projects and creating and/or optimizing performance measurement processes.

- Standardize operational planning & monitoring of the various services provided by Infrastructure Operations
- Lead the set up, management and close out of work orders for each operational season
- Prepare monthly SKF, order number and labour hour reports by pulling relevant data from SAP
- Assist the section transition to Enterprise Commons, including SAP HANA
- Develop section level KPIs that align with Branch level KPIs
- Conduct trend and variance analysis using statistical mapping/mathematical tools Analyze available data to develop dashboards, data visualizations, graphical models and reports to provide the pulse of operations
- Monitor operations' service levels and delivery to produce daily, weekly, monthly and annual reports
- Liaise across organizational departments to identify SMEs and gather information to propose business cases for continuous improvement
- Develop responses to Council's request for information or recommendation based reports
- Support the engagement of targeted SMEs, internal and external stakeholders to gather relevant data
- Synthesize the data gathered into accurate and meaningful insights recommendations
- Produce Council reports focussed on citizen experience and industry best practices
- Compile supporting documentation and develop presentation materials
- Lead integrated teams and manage approved continuous improvement projects end-to-end
- Analyze system data to produce current state snapshot and develop a roadmap to future state (gap analysis) Lead and direct cross-functional meetings to collaborate with SMEs, internal and external stakeholders
- Perform hot spot mapping for pilot projects
- Develop project documentation including scope, reports, presentations, new policy proposals, process flow diagrams, etc.
- Manage the implementation of data collection tools and processes
- Perform other related duties as required
Qualifications
- University degree in Science, Engineering, Business Administration, Statistics, Mathematics, Commerce, Political Science or a related field
OR - Equivalent supporting education/training in organizational development, leadership, process improvements, business analytics, strategic planning, change management
- PMP (Project Management Professional) certification an asset
- Minimum 2 years experience in:
- Process standardization, development and/or stakeholder relations
- Support the facilitation of multi-stakeholder technical or operational groups
- Project management, research, strategic-thinking, report writing, business case development
- Strong analytical skills
- Strong communication skills, both verbal and written
- Strong relationship-building and interpersonal skills, both internally and with external vendors and stakeholders
- Strong strategic thinking, decision making and ability to assess risks
- Proficient computer skills; experience with Microsoft Office Suite, Google/Gmail/sheets, Tableau, FME, SAP, POSSE,GIS software, and JavaScript programming language would be considered assets
- Advanced level knowledge of primary and secondary research methodologies
- Strong project management ability
- Train in Standard First Aid and CPR or evidence of being registered is considered an asset
- Valid Alberta Class 5 driver's licence (or provincial equivalent). Must arrange own transportation to be reimbursed in accordance with the City of Edmonton policy which may require business auto insurance

Integrated Infrastructure Services (IIS) Department works with a vision of inspiring trust among citizens and Council in our commitment and ability to deliver quality infrastructure. The Infrastructure Planning & Design Branch within IIS, connects with stakeholders, business partners and community in the planning and design phases, and determines the scope, schedule and budget of projects before transitioning to the delivery phase.
Working as an agent for IIS and the Branch leadership team, the Project Manager delivers on projects through guiding and leading an integrated, multi-disciplinary team composed of staff from across the department. The Project Manager has the authority and competence to lead the project and make operational decisions. The Project Manager is accountable for the successful delivery of the assigned projects.

- Manage the planning & design and/or delivery of infrastructure projects including operational/strategic initiatives, resource and financial management
