As a Learning & Development (L&D) Clerk, you will be working in a highly independent environment, providing administrative support to the Learning and Development team within Edmonton Transit Service (ETS).

  • Research, develop, implement and evaluate processes and procedures to support the effective management and delivery of learning and development programs and initiatives such as: Operator training programs, ETS employee and retiree badge administration, maintaining the Track-it database, employee file management, Operator assessment communication, provincial reporting requirements, etc
  • Compile and present reports detailing training proposals, training profiles, resource and cost requirements, and expected learning outcomes based on the objectives provided
  • Independently manage the administration of ongoing learning programs and sessions, including maintaining course materials and information, coordinating sessions and managing training spaces, monitoring the training scheduling, and maintaining the calendar for the L&D area
  • Work collaboratively with the Hiring and Recruitment area to identify anticipated trainee numbers and recruitment timelines, and Instructor availability
  • Independently create and implement yearly learning and development plans, including:
    • Plan, create, and schedule Transit Operator and Community Service Operator training classes
    • Plan, create, and schedule hiring assessment sessions
  • Work closely with the Supervisor, Learning and Development and Senior Instructor to ensure all course content is up to date and meets best practice/industry standards, including:
    • Maintain and update all course outlines (including the storage of archived course outlines) and the training course catalog
    • Liaise with Operation and accreditation bodies (such as Canadian Urban Transit Association (CUTA)/MCPCC and Alberta Transportation)
  • Contact firms and individual customers to secure payment of accounts, conform with regulations and deals with other similar situations
  • Calculate, prepare, issue, and/or submit bills, invoices, and other payment records for billable documents or services
  • Gather, compile, and verify information and perform data entry, and transfer information from reports, files, and other documents into prepared master sheets, documents, and other training record keeping systems
  • Prepare, assign, track, and monitor Instructor certification requirements for the training center
  • Write memos and letters for ETS training projects such as ROADEO, Smart Fare etc. for approval/issuing by ETS operations and communications groups, as well as minutes for the Learning and Development business unit
  • Other duties as assigned

Qualifications

  • Completion of Grade 12 (or higher, or equivalent), including business subjects with emphasis on general office practices or the area of specialization
    OR
  • Completion of an appropriate certificate program from an approved business school/college
  • A minimum of three (3) years of progressively responsible and diversified office experience with an emphasis on training administration, including administration of course content and materials, working independently and as part of a team, and/or managing schedules for various internal and external stakeholders
  • Demonstrated experience in working independently, supervising less experienced staff, and initiating, completing and evaluating projects
  • Advanced knowledge of Google Workspace (Gmail, Calendar, Sheets, Docs, etc), Microsoft office and Ariba
  • Considerable knowledge of business communication, including spelling and grammar
  • Considerable knowledge of modern office practices, procedures and equipment
  • Ability to make decisions in accordance with established policies and procedures
  • Ability to maintain and prepare moderately complex records and reports
  • Excellent organizational and time management skills, including the ability to work independently
  • Problem solving skills, including the ability to resolve conflict in a collaborative, professional manner
  • Ability to understand and execute verbal and written instructions
  • Ability to build and maintain strong relationships with a variety of internal and external stakeholders

  • Manual dexterity to operate simple hand tools 
  • Ability to understand and follow verbal and written instructions 
  • Ability to work independently, see tasks that need to be performed and see tasks through to completion

This position is skilled manual labour in the construction and maintenance of concrete structures or horizontal transportation networks. This position is essential to the maintenance and repair of pathways throughout the municipality which requires specific knowledge of concrete materials, their handling and application procedures.

With a focus on the City of Edmonton’s Cultural Commitments to Safe, Helpful, Accountable, Integrated and Excellent, you will:

  • Build, erect and align concrete forms for various concrete structures
  • Install in rebar or wire mesh, mix and place concrete and apply finishing methods for rebuilding of pathways, sidewalks, curbs, gutters, ramps and other concrete related structures
  • Interpret first calls, blueprints, reading survey stakes for establishing grade
  • Estimate volume of concrete needed for each job
  • Provide guidance and instruction to untrained workers as required
  • Hot asphalt repairs, bagged cement repairs, gravel repairs and land restoration repairs may be required
  • Provide customer service and communicate with the public and other employees professionally and respectfully
  • Complete daily equipment check sheets, Field Level Risk Assessments - (FLRA), log books and address any issues found, report to LD2, RMS or Supervisor
  • Ensure all City OH&S Safety Standards, Policies and SOPs are followed; and that safety is the first priority in work execution
  • Perform other related duties as required

Qualifications

  • Completion of the 10th school grade
  • Experience in all phases of concrete work. An equivalent combination of training and experience may be considered
  • Considerable job knowledge of the standard methods, materials, tools and equipment used in concrete construction and maintenance.
  • Knowledge of the occupational hazards and safety precautions applicable to the work
  • Ability to instruct and direct the work of unskilled and semi-skilled workers
  • Ability to perform manual labour for extended periods of time under various weather conditions
  • Ability to use the necessary hand and power tools for work assignments
  • Knowledge of COE & PARS Standard Operating Procedures
  • Ability to perform heavy manual labour for extended periods of time under various weather conditions
  • Ability to understand and effectively carry out oral and written instructions with co-workers, leaders and supervisors
  • Valid Alberta Class 5 Drivers Licence (or provincial equivalent). Obtaining and maintaining a City Drivers Permit is a requirement of this position

Reporting to the Supervisor, Business Planning and Financial Management, the Billings Clerk is responsible for providing a broad range of financial and clerical services for the different branch sections. The support includes Accounts receivables (creating billing advices, credit memos, updating PM orders in SAP), providing clarifications, responses to customer/vendor inquiries, running reports along with any administrative support to other sections within the Parks and Roads branch through administrative duties as required.

With a focus on client satisfaction, you will work in an integrated business model to: 

  • Work with the business area to ensure all costs are accurately identified/captured before billing advices are created
  • Collaborate with the business area in case costs are missing, credit memos need to be generated etc
  • Capture all the information from SAP, relevant files to update the corporate billing advice/credit memo templates
  • Send billing advices/credit memos to the corporate accounts receivables team for invoices to be generated
  • Submit any cheques to the corporate team that are received as payments
  • Scan and track these cheques for future reference
  • Run regular periodic reports in SAP to ensure that billing advices are created for all billings that show up in the system, other files etc.
  • Work with the business area to ensure everyone is following the process to trigger creation of the billing advices
  • Support in the accruals process
  • Work collaboratively with multiple staff across the various sections within the PARS branch
  • Ensure billing advices are created in a timely manner
  • Collaborate with the business areas to provide timely responses to vendor/customer inquiries

Qualifications

  • Grade 12 education is required
  • Minimum three years of experience in billing with demonstrated ability to maintain successful working relationships with various stakeholders and accurately completing invoicing/billings
  • Training in basic accounting including customer billing and cost control
  • Basic knowledge of accounting principles
  • Attention to detail as this work impacts our ability to send out correct invoices to vendors/customers
  • Ability' to manage time effectively, manage multiple priorities and deliver under tight timelines
  • Problem resolution and conflict resolution
  • Excellent verbal and written communication skills
  • Ability to work independently as well as part of a team with a strong work ethic
  • Excellent working knowledge of computer and computer softwares like MS office, Google Suite
