JOB SUMMARY

The mandate of ServiceOttawa is to achieve better outcomes for Ottawa residents and businesses when they access City services, by providing a consistent and positive client experience across multiple channels with a focus on Service Excellence. The Counter Services team responds to community needs through the provision of optimum client service delivery employing a centralized one-stop approach. Counter Services consists of seven Client Services Centres and three Provincial Offences offices, which offer a variety of services such as pet registrations, marriage ceremonies, payment intake, parking permits and provincial court services to name a few. Counter Services staff process over 250,000 transactions and handle over $190 million in revenue per year for the City. 

You are responsible for providing information and customer service for a wide range of municipal and provincial services, programs, policies, procedures, permits and fee structures, as part of a team of agents, delivered through a ServiceOttawa Centre; ensuring service continuity in responding to inquiries and urgent requests from the public, elected officials, internal staff, and other government agencies through a variety of platforms, primarily by in-person and including electronic/web, email and phone in the most efficient and professional manner possible, minimizing referrals and transfers to other subject matter experts, where possible, and ensuring follow up where required. Work is performed in accordance with corporate/departmental/branch policies, procedures, standards and guidelines, as well as any applicable legislation/regulations, and in meeting performance and quality assurance standards.

You are also responsible for determining the course of action for parking ticket resolution in accordance with the First Attendance Facility policy/procedures, and service standards set within the Branch.  

EDUCATION AND EXPERIENCE

Completion of Grade 12

Post-secondary education and/or training related to Customer Service is an asset

Minimum of 3 years of relevant experience in a customer service environment, providing service to the public by telephone, in person, in writing and electronically in a multi-service environment, such as a in call centre and/or a counter service operations 

KNOWLEDGE

  • Knowledge of customer service delivery mechanisms, practices and strategies to resolving customer related complaints
  • Computer literacy in MS Office Suite, internet/intranet and job specific programs such as ICON, IP360, Dynamics, Liberty Recording System, LAGAN, Knowledge BASE, Ottawa.ca, MAP, ITX, VTAX, H2O, ACTIVENet, PRESTO, SAP, VSTATS, etc.
  • Knowledge of provincial legislation & regulations, corporate policies & procedures along with the ability to apply and interpret these provisions
  • Knowledge of applicable health and safety legislation, including the rights and duties of workers.
  • Knowledge of City of Ottawa organizational structure, services and personnel is an asset

Under the supervision of the assigned Project Engineer in charge, this position monitors and controls the electrical system equipment to ensure its safe and efficient operation and maintains and upgrades all Supervisory Control and Data Acquisition (SCADA) system equipment.

Duties & Responsibilities

  • Monitors the electric system for abnormal conditions and promptly takes appropriate action to restore electrical power safely and to return the system to a secure state, following outages or system disturbances.  Promptly reports all matters requiring attention of others to supervisor and appropriate management staff.
  • Monitors the electric system and takes appropriate action to ensure that electrical power flows are within the capability of system equipment, that system voltages are within acceptable levels and the system is operating efficiently, which may include the control of power factor or peak demand, economical acquisition of bulk supply and minimizing losses.
  • Prepares switching procedures and performs switching via the Supervisory Control and Data Acquisition (SCADA) system.  Maintains logs of all switching operations and keeps equipment status accurately marked on the system schematics and virtual maps.
  • Ensures that the appropriate reports and logs are completed for all power interruptions and component failures.
  • Files and distributes SCADA reports.  
  • Performs routine backups of the SCADA system computer files and assists with software upgrades.
  • Edits the SCADA system database and displays to reflect electrical system changes. Prepares specialized reports and custom control routines. 
  • Commissions and troubleshoots SCADA master station and remote terminal unit equipment. 
  • Assists with the investigation of customer voltage complaints, the analysis of electrical system operating data and various other studies.
  • Performs other related duties as assigned.

Qualifications

Education, Training and Experience Requirements:

  • Graduation from a recognized, two-year, post-secondary Electrical Engineering Technology program.
  • Eligible for certification as an Applied Science Technologist (A.Sc.T) with the Saskatchewan Applied Science Technologists and Technicians.
  • Two years' related experience in an electrical utility, including involvement in system operation.

Knowledge, Abilities and Skills:

What you will do:

  • Assists customers with detailed pricing proposals/quotes for products and services projects.
  • Supports new sales opportunities through bid monitoring, prospecting and project research.
  • Follow a systematized sales process designed to convert leads into in-home sales opportunities by listening, understanding the consumer’s needs, asking probing questions, overcoming objections, and securing details to aid in the eventual sale.
  • Provides and develops documentation for customers to look at product information and solutions. Provide product and technical information to outsides sales to support generation of sales into the utility segment.
  • Make a high volume of outbound phone calls to consumers who submitted a web form for information on our products with the intention of scheduling an in-home sales visit for the Sales Closer. Occasionally receives inbound phone calls for the same purpose.
  • Communicates with internal and external resources, providing customer service and completing quotations, fulfilment of demand, ensuring on-time delivery of orders, providing engineering support, and troubleshooting other customer problems.
  • Fulfills Sales Support activities for the Order to Invoice process, owning the customer interface for quality processes: corrective actions, Field Quality Reports.
  • Adhere to Company compliance and Health Safety and Environment (HSE) policies, procedures, and requirements
  • Regular and reliable attendance
  • All team members work one weekend per month in rotation.
  • Other duties as assigned

 

What you will bring:

  • Experience working in a modern (automated) contact center is a must with an emphasis on consultative sales or lead-generation.
  • Ability to collaborate with others and understand geography and lead-setting skills. 
  • Proven track record of success in selling over the phone, consultative sales, lead setting, or other relevant contact center experience.
  • Exhibits superior technical skills and ability to task switch between omni channel contact center software, a CRM, mapping tools, the Microsoft Office suite, and other cloud-based tools.
  • Has excellent verbal communications skills, strong grammar, spelling and written skills, and a strong understanding of North American geography.
  • Comfortable with receiving coaching in an individual or team setting and having your work product evaluated in real time.
  • Willingness to thrive in a remote work situation where your contact with colleagues is 100% via video conference, instant messaging, and phone.
  • Ability to multi-task across multiple software platforms during your workday.

 

Salary Range: $23.00 - $26.00 per hour

Reporting to the Warehouse Manager this position oversees the accuracy of inventories for product in stock, in transit, outbound, and inbound.  Identifies and corrects inventory issues and ensures customer orders are accurately filled and specific shelf-life requirements are met by performing the following duties under direction of the Department Manager and in coordination with the warehouse team. This is a full-time permanent position at our Port Coquitlam Facility.

 

Schedule:  Monday to Friday 5:30am to 2:00pm

Salary range: $52,730 - $69,230 Annually

How you will make contributions that matter:

  • Partner closely with the warehouse team to ensure warehouse inventory tasks are effectively monitored and managed.

  • Manage inventory control activities to include identifying, investigating, and resolving inventory discrepancies.

  • Monitor and manage goods receipt zones as well as aged pick and put away tasks.

  • Coordinates and performs cycle counting.  Monitors and revises all aspects of cycle counting as needed.  Maintains accurate records.                                         

  • Reviews daily reports for accuracy.  Plan & adjustment for errors, damaged items and notifies management. Maintains communication with customer service.                                              

  • Adjusts inventory files as needed.  Issues documentation i.e., adjustments to the applicable departments and maintains updated files of all transactions.

  • Ensure inventory management system accuracy.

  • Monitor in-transit inventory.

  • Performs all end of month adjustments, duties, and inventory procedures.

  • Prepares various reports at the end of each accounting period. 

  • Assists with annual inventory counts.
