Job Description:

Major Job Functions:

Portfolio Management:

  • Administer collection activity and build and maintain the credit history file in utilized enterprise resource system (M3, SalesLink or other assigned systems
  • Manage assigned accounts, includes contacting customers to follow up on accounts, reviewing accounts and notes receivables reports regularly to identify follow up requirements, monitoring and communicating customer portfolio and regional customer metrics to internal stakeholders, processing small balance write off, account adjustment, and account reconciliation, and resolving dispute, discrepancies and short payments
  • Assist in branches when receiving request for Deferral’s, General Security Agreements (GSA), garage man's liens and escalate to Senior CAR.
  •  Negotiate repayment arrangements within a 90 day repayment period; escalate to Team Lead and or Sr. AR Manager for protracted periods.
  • Collect on past due accounts and report to Account Receivable Team Lead and or Senior AR Manager on accounts requiring legal action, repossession, bad debt write off and identified as risk.

Customer Service:

  • Provide customer service on accounts, includes forwarding invoices, processing credit card authorization forms, processing customer refund request; completion of Netting forms, Write-Off forms, Credit Matrix, and submission to the appropriate assigned signing authority.
  • Responding to customer enquiries, by promptly answering the queue line.
  • Reconciliation of AR accounts as required

Credit Approval:

  • Approve credit releases for parts, service and rentals request and authorize requests over the set credit limit

Reporting:

  • Prepare weekly & monthly AR reports as assigned
  • Other assigned duties as required

 

Accountability:

  • Meet or exceed set collection targets (60 to 90 day targets) and bad debt targets and reduce delinquency rates for assigned accounts, as outlined in corporate guidelines
  • Regular, proactive and consistent contact with customers assigned and accurate and timely account and process information and documentation, as required
  • Monitor and communicate customer portfolio metrics (e.g. delinquency notes, portfolio ageing and identified risks) to applicable internal stakeholders and Accounts Receivable Team Lead
  • Identify and act on accounts requiring legal action through communicating with Accounts Receivable Team Lead, Senior CAR, or  Senior AR Manager on areas of concern
  • Represent the company in a professional and ethical manner and establish and maintain effective and cooperative working relationships with customers, branches and all internal relationships while maintaining confidentiality
  • Adhere to policies and procedures outlined in the Credit Department Policies and or Procedures

Experience:

  • 1-3 years of high volume corporate collections experience
  • 1-3 years’ experience processing accounts receivable
  • Proficient in MS Office Applications
  • Knowledgeable of the Personal Property Security Act (PPSA), Personal Information Protection Act (PIPA) and Bankruptcy and Insolvency Act (BIA)
  • Knowledgeable of basic business law and basic tax law
  • Knowledgeable of Generally Accepted Accounting Practices (GAAP), credit procedures and CCAA (Customer Credit Agreement Act)
  • Knowledge of account receivable and collection practices
  • Understands and adheres to Finning policies and procedures, including Safety

Working Conditions

Due to the nature of the role, the incumbent must be able to meet tight deadlines, handle pressure and stress. The position requires responding to unexpected and emergency situations, and being able to lift up to 70 lbs.

The Customer Service Representative operates as a professional in a call center environment. Working to enable rail service, the SDR ensures that CN meets the needs of our customers by maximizing operational efficiency and flexibility, minimizing cost and protecting revenue.

The Customer Service Representatives are part of the customer team, taking direction from the Supervisor and Senior Customer Service Representative on priorities and performing activities required to meet our customer’s needs. The Customer Service Representative will perform specialized tasks requiring time and attention. An example of these duties may include producing reports, assisting the customer with Diversions and overloads, and bad orders. The Customer Service Representative will interact directly with the customer or through the Senior Customer Service Representative.

Critical Performance Areas

·       Manage incoming requests from Senior Customer Service Representative and work with customers to take appropriate action to ensure requests are fulfilled. This includes handling requests or working with other stakeholders (ex. ETC, OS, Claims) to complete tasks. Work with Senior Customer Service Representatives and Supervisor to escalate as required. 

·       Communicate, monitor and advise customers on problems areas, service exceptions, special requests and update necessary logs, forms or systems, as required. 

·       Assist the customer in specific activities, such as diversions, transloads, way billing issues, inbound load rejects, imbalanced/overload cars, bad order cars, holiday schedules, etc.

·       Run various systems inquiries (ex. SRS, Business Objects, CSI) obtaining status on shipments and empty equipment. Compile and analyze data.

·       As required, monitor fleet location, traffic status, updating work orders as needed, identifying exceptions and shortfalls. 

·       Other duties as assigned and required.

Success in the call center environment may be measured by:

·       Wait time for initial contact

·       Length of time required during interaction to reach resolution

·       Ability of the CSR to impart relevant knowledge on the first contact

·       CSR scorecard

·       General customer service perception (measured by surveys)

·       Additional measurements as required

Working Conditions

·       Expected: 25-30% on phone with Customer. Expected to remain professional when faced with difficult situations.

·       Fast-paced and intense with many time constraints, outside pressures and simultaneous activities; required to prioritize, follow-up and escalate internally in addition to answering customer inquiries.

·       Shifts are assigned based on seniority. Some shifts will require shift work (day shift, afternoon shift, night shift, weekends, and holidays).

Employment Requirements

POSITION SUMMARY: The Maintenance Rep will be responsible for performing general building and property maintenance. The Campus Recruiter implements and executes the recruitment strategy by supporting high volume, full-stack recruitment activities in Eastern Canada. The incumbent will be responsible for a variety of recruitment activities including managing a high volume of candidates and data, organizing interviews, managing the candidate experience, and supporting programs such as student re-hire, internal referrals, and scholarships. 

 

Responsibilities 

  • Serve as the primary point of contact for candidates, educational institutions and the company. 

  • Work closely with internal stakeholders to establish a tailored recruitment approach across designated schools to meet skills requirements. 

  • Establish relationships with designated schools, and with professionals in career centers and study programs. 

  • Leverage campus recruiting insights, recruiting outcomes and business intelligence to drive process and influence key internal stakeholders on recruiting activities and programs. 

  • Coordinate logistics and participate in campus activities including career fairs, class presentations, lectures, and interview sessions. 

  • Act as a “brand ambassador” to expand our internal and external presence to strengthen the Hatch brand through social media and other channels. 

  • Ensure full campus recruiting for Hatch: 

  • posting positions in schools and appropriate sources; 

  • pre-selection and evaluation of candidates; 

  • preparing application files for review by hiring managers; 

  • coordination and scheduling of interviews with hiring managers; 

  • preparing interview materials for hiring managers; 

  • reference checks through our third party vendor; 

  • managing the job offer letter process, including drafting and sending the letters; 

  • entering relevant candidate and interview data into the applicant tracking system (SuccessFactors); 

  • Optimizing and managing the application process using technology to improve the candidate experience. 

  • Implement programs and initiatives to promote the participation of co-op students, interns and graduates: 

  • participate in the management of these programs and initiatives, including the organization of learning and social activities such as lunch and learns and the student forum; 

  • collect feedback from hiring managers following interviews, forward it to candidates and enter it into the system; 

  • survey hiring managers on student performance during co-op placements and provide feedback on new graduates' performance after six months of employment; 

  • survey students one month before the end of their contract period and survey graduates after six months of employment; 

  • compile the survey results and present them to management with suggestions for improvement. 

  • Track indicators and produce reports: 

  • maintain the integrity of applicant tracking system data and prepare reports on recruiting and hiring activities for management. 

 

Requirements 

Professional training and experience 

  • Bilingualism (French and English).  

  • Six months to two years of high-volume, full-stack campus recruiting experience, preferably with engineering or technical graduates. 

  • College or university diploma in human resources or a related field, an asset. 

 

SKILLS 

  • Proven ability to manage high volume campus recruiting in a fast-paced, deadline-driven environment. 

  • Ability to manage conflicting priorities with strong attention to detail and accuracy as well as follow-up and follow-through. 

  • Exceptional communication skills and the ability to quickly build relationships and provide exceptional internal and external customer service. 

  • Attention to detail and accuracy to maintain data integrity. 

  • Proven power of influence, ease with upstream and downstream follow-ups to ensure the smooth running of the process and a positive experience for candidates. 

  • Strong commitment to efficiency and quality of results. 

  • Team spirit. 

  • Discretion in handling confidential and sensitive information.

  • Administer the management of construction contracts in large-scale projects in the mining and metals, infrastructure and energy sectors;
  • Responsible for change management and monitoring of contractual deliverables in compliance with deadlines;

  • Be able to monitor and communicate the status of construction contracts in progress and intervene to resolve any issues that may arise with a proactive and collaborative approach.

Your profile:

  • 10+ years of experience in IAGC type projects in construction contract administration
  • Experience in contract writing.
  • Communication and negotiation skills, meticulous and innovative approach
  • Good command of procurement processes
  • Hold a bachelor's degree in engineering and/or a university degree in law and perform paralegal duties (an asset)
  • Experience on large-scale projects (an asset)
  • Good command of French and English
  • Be versatile, comfortable with change and able to establish effective working relationships in a dynamic environment in cohesion with colleagues, contractors and clients.

DUTIES AND RESPONSIBILITIES: 

Must be able to perform, but not limited to the following duties and responsibilities:

• Actively participate in the Company's Safety Management System program and demonstrate knowledge of employee responsibilities regarding safety.
• Primary point of contact within Contractor organization with operational and account responsibility for the set-up of charter requests and for all operational planning, operational execution and for recovery (IROP) issues involving the charter program including (but not limited to):
• Ensuring the operational objectives of the FIFO programs are met including exceptional On Time Performance (OTP) through effective management of contractor and its sub-contractor's resources;
• Determine routing assignments for each aircraft operated by Canadian North, or its subcontractors, taking configuration, airport requirements and maintenance needs into consideration;
• Participate in fleet planning in regards to heavy maintenance requirements and identify problems and recommend solutions to minimize or alleviate negative impacts on charter service;
• 24 hour availability, either direct to or to another contractor employee with the authority and competence, to act for the contractor in managing issues raised by authorized members of the client;
• Liaison with Charter Director, Manager, OCC, on all changes to the operations and communicate any issues directly with Transportation Coordinator if time is of the essence.
• Advise the client of opportunities to improve load factors by analyzing manifests, and proposing for client approval, potential savings or efficiencies that can be realized by gauge changes or by combining flights, etc.
• Develop and disseminate Irregular Operation Policy (IROP) recovery plans working in conjunction with OCC and client Transportation Coordinator(s).
• Identify problem areas and trends in OTP, recommend and participate in implementing changes.
• Negotiate, coordinate and manage all operational logistics aspects of the client FIFO program including; off-line station contracts, fuel contracts, liaison with airport authorities.
• Liaise with the client on requirements and expectations - especially with respect to planning and executing flight schedule as agreed.
• Provide supervisory support to all Charter Specialists through all phases of client operations.
• Provide support and reports to the Director, Charters and applicable client contacts on flight programs.
• Manage Continuous improvement component of SLA in an ongoing effort to improve products, services or processes. Implement and assist in the management of any workforce logistics solutions' platform(s).
• Coordination with regulatory authorities.
• Manage and execute applicable Service Level Agreement (SLA) requirements for air charter transportation.
• Account Management including: -Manage all of client's requirements and reach the company's targets and objectives; Establish budgets with the client and company; Identify new opportunities for the client; Manage and solve conflicts with client and internal stakeholders; interact and coordinate with the sales team and other staff members in other departments; travel as necessary.
• Other duties as assigned.

SKILLS AND QUALIFICATIONS: 

Include, but not limited to, the following minimum skills and qualifications: 

• Proven ability to work independently with limited supervision or direction
• Excellent interpersonal skills including oral and written communication
• Proven ability to effectively handle diverse and challenging situations
